JOB SUMMARY

We are looking for a detail-oriented and organized individual to join our team as a New Restaurant Opening Coordinator/Administrator. In this role, you will provide essential administrative support and coordination to ensure the successful launch of new cafe location. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.

This position must have outstanding communication skills, both in verbal and written forms, ability to develop strong relationships and implement effective solutions. Must be highly organized, strategic and able to manage multiple priorities, with strong problem-solving and analytical capabilities.

ESSENTIAL FUNCTIONS (Key Responsibilities)

  • Assist with the planning and coordination of all aspects of the new cafe opening process, including scheduling, logistics, and communication with internal teams and external partners.
  • Prepare and maintain detailed project timelines, checklists, and documentation to track progress and ensure deadlines are met.
  • Coordinate meetings, conference calls, and site visits related to the restaurant opening, ensuring all stakeholders are informed and aligned.
  • Assist with the procurement of equipment, supplies, and services needed for the new cafe location, including vendor management and contract negotiation.
  • Support with the recruitment, hiring, and onboarding of new team members, including scheduling interviews, processing paperwork, and coordinating training sessions.
  • Assist with budget tracking, expense reporting, and invoice processing for the new restaurant opening project.
  • Provide administrative support to the cafe opening team, including managing correspondence, filing documents, and maintaining records.
  • Provide leadership and support to the cafe team, fostering a positive and collaborative work environment that promotes success and growth
  • Train, coach, and develop leaders, through timely performance and observation feedback and evaluations.
  • Stays updated on industry trends, competitor activities, and market conditions to make informed business decisions.

Requirements & Qualifications

  • Minimum of 2 years of experience in administrative support, project coordination, or related role.
  • Ability to think creatively and translate vision into actionable plans.
  • Exceptional leadership abilities, including motivating and inspiring a diverse team.
  • Excellent problem-solving skills and the ability to make sound decisions under pressure.
  • Strong organizational skills, with the ability to engage and motivate leaders.
  • Understanding of Project Management tactics and strategies.
  • Outstanding communication and interpersonal skills, with the ability to build relationships with stakeholders at all levels.
  • Flexibility and adaptability to work in a fast-paced, dynamic environment.
  • Smartsheet and project management experience preferred.
  • Must be based in Orlando, Florida
