Posting Close Date: September 9, 2024 The Opportunity Our US External Relations team is currently seeking a highly organized, proactive, and detail-oriented Executive Assistant / Office Manager to join the team, based in Washington, DC. Reporting to the VP, External Relations US and VP, Policy and Insights, this position provides comprehensive administrative support to the senior leadership team and will oversee the smooth operations of our Washington, DC office. This crucial role will be the gatekeeper and trusted confidant to our executives, managing their schedules, travel arrangements, expenses, and day-to-day responsibilities with unwavering efficiency and discretion. Additionally, this position is responsible for overseeing all office management functions, ensuring a professional, productive, and welcoming environment for our employees and visitors. What you will do Executive Assistant Duties: Manage the calendars and schedules of assigned executives, coordinating meetings, appointments, and travel arrangements Prepare detailed itineraries, agendas, and other materials for executive meetings and events Serve as the primary point of contact for executives, screening and prioritizing incoming communications Maintain confidential files and records, ensuring the secure handling of sensitive information Coordinate and facilitate effective communication between executives and internal/external stakeholders, including policymakers, government officials, and industry leaders within the natural gas sector Provide administrative support, such as drafting correspondence, proofreading, and organizing documents Anticipate the needs of executives and proactively develop solutions to streamline their workload, drawing upon your understanding of the political landscape in Washington, DC Office Management Duties: Oversee the day-to-day operations of the Washington, DC office, including managing office supplies, equipment, and facilities Serve as the primary contact for office service providers, such as IT support, janitorial services, and building management Coordinate and manage office events, meetings, and other logistics, including those with political, governmental, and natural gas industry stakeholders Develop and implement efficient office procedures and policies to optimize productivity Serve as the point of contact for employees, visitors, and vendors, ensuring a professional and welcoming environment Assist with human resources tasks, such as onboarding new employees and managing office equipment and technology Monitor and maintain office budgets, processing invoices and expense reports as needed Minimum Qualifications High school graduation 10 years of experience as an executive assistant or in a similar high-level administrative role Proven track record of providing exceptional administrative support to senior-level executives Experience navigating, and understanding of, the complex political landscape of Washington, DC Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines Excellent written and verbal communication skills, with a keen attention to detail and strong political acumen Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software Preferred Qualifications Post-secondary certification in administration Proven experience as an executive assistant, or in a similar high-level administrative role, in a politically charged environment Demonstrated knowledge of the natural gas industry Strong problem-solving skills and a solutions-oriented mindset, with the ability to navigate complex political, governmental, and industry processes Experience in office management, including budget oversight and vendor management To remain competitive, support our high-performance culture, and allow for more flexibility in the way we work, we offer a hybrid work model and flexible dress code for our eligible office-based workforce in Canada, the U.S., and Mexico. #LI-Hybrid About our business TC Energy is a leading energy infrastructure company in North America.
