4KIDS is Hiring an Administrative Assistant Near Delray Beach, FL

Administrative Assistant/Office CoordinatorAre you called to serve in a Christian organization behind the scenes in an administrative role? Do you want a meaningful career advocating for Hope, Homes & Healing for children in foster care? 4KIDS is looking for an Administrative Assistant who will be responsible for administrative duties in our Palm Beach office. This position will also assist in development initiatives and coordinating and executing special projects. Through the implementation of these activities, the Administrative Assistant will share the heart and vision of 4KIDS to prospective donors in our community.
Job Description:
  • Manage administrative duties of Palm Beach office including office opening and closing procedures, welcoming all guests, processing all donations (receiving and distribution).
  • Manage the kitchen, supplies, and all closets.
  • Coordinate all gatherings in the Family Room – calendar room reservations, set up, clean up.
  • Receive and distribute incoming mail and packages.
  • Coordinate office/property needs with the properties department.
  • Create credit card reports and mileage reports.
  • Assist with preparation for monthly Champions meetings and City Lead meetings.
  • Assist with special events such as Galentines and Gift of Hope at Christmas, and Back to School supply drive.
  • Coordinate volunteers for special projects listed above.
  • Coordinate weekly office volunteer activities.
  • Assist the Partner Engagement Director and team with administrative duties as needed.
  • Maintain Donor Contacts and follow up with Thank You letters when appropriate.
  • Coordinate schedules, meetings, update calendars and manage event timelines effectively.
  • Assist with Partner Engagement data entry, as needed, for events and other initiatives.
  • Be a public ambassador for the agency.
  • Coordinate and execute special projects for 4KIDS.
  • Use and become proficient in Virtuous for Donor Management and Data Entry.
  • Assist with setup and breakdown of events.
  • Help prepare for tours and special guests.
  • Organize small stewardship events, including thank-a-thon and staff appreciation.
  • Timely execution of projects and initiatives based upon timeline and success measures.
  • Provide excellent follow up and follow through in a timely and professional manner
  • Proactively meet the support needs of the Director of Partner Engagement
  • Maintain positive, unifying attitude as evidenced in all external communications
  • Demonstrate professionalism in appearance as well as written and verbal communication
  • Maintain confidentiality at all times
  • Utilization of PaperSave, Excel, Canva, etc.
  • Take meeting minutes at PE Director led meetings.
  • Manage in-kind gift receipts and process.
Job Requirements:
  • High school diploma or the equivalent, Bachelor’s Degree preferred
  • Experience in office and administrative processes
  • 2 years previous administrative experience
  • 2 years or more of business or non-profit office experience
  • Use of a variety of databases, both inputting data and generating reports
  • Proficiency in Microsoft Office Suite, various data bases, web-based programs, social media, etc.
  • Strong interpersonal skills
  • Must be able to communicate effectively, both in writing and in verbal communication
  • Excellent time management and collaboration skills
  • Possess personal effectiveness and credibility
  • Exceptional project management and prioritization skills with an emphasis on detail and completed staff work
  • Ability to work with minimal supervision
  • Ability to appropriately handle confidential and highly sensitive information in a trustworthy manner
  • Available to work occasional evening and weekends
