Construction Administrative Assistant

We are looking for a Construction Administrative Assistant to join our team! We are an established construction company that specializes in multi-family renovations. We have been in business for over 30 years and are looking for a strong addition to our team.

The Administrative Assistant will perform clerical and administrative functions to drive company success. You will represent the company and be the first impression to our clients. Top candidates will enjoy working in a fast-paced environment and be open to being involved in all aspects of our projects.

Construction Administrative Assistant Responsibilities:

  • Process, read, and maintain all documentation pertaining to the jobs awarded
  • Negotiate pricing, order, and maintain rental equipment
  • Set up housing for project managers and subcontractors
  • Apply for building permits when required
  • Answer phones and issue purchase orders
  • Approve, deny, or revise vendors’ invoices
  • Track materials that have been ordered and delivered to the job site
  • Approve, deny, or revise subcontractors’ invoices and track work completed
  • Input all job-related data into accounting software
  • Invoice the customer for work we have completed
  • Monitor every invoice to ensure it is paid according to the terms of the contract
  • If an invoice becomes past due, reach out to the customer to ensure the invoice is being processed

Construction Administrative Assistant Requirements:

  • Previous experience in office administration or other related fields
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • Strong organizational skills
  • Proficient in Microsoft Word and Excel
  • Experience in LIHTC, DCA, and HUD work is a plus
  • Experience with ComputerEase is a plus

Job Type: Full-time

Pay: $17.00 - $20.00 per hour

Expected hours: 40 per week
