AASA, The School Superintendents Association is Hiring an Executive Administrative Assistant Near Alexandria, VA

The American Association of School Administrators, d/b/a, AASA the School Superintendents Association, is the premier association for school system leaders. We serve as the national voice for public education and district leadership on Capitol Hill. A professional community of more than 10,000 educational leaders, AASA and its members are committed to providing high-quality public education to all students.
AASA is looking for an Executive Administrative Assistant with at least five years of experience supporting C-level executives, preferably in a non-profit organization. The successful candidate will manage the confidential, effective, and efficient operation of the Executive Office and support other assigned senior staff using considerable latitude in exercising independent, mature judgment to complete responsibilities.
AASA is located in Alexandria, Va., just outside of the capital of our nation. This position will typically work in our office. We are conveniently located just blocks from the King Street Metro station, which provides easy access from Ronald Reagan National Airport.

Starting salary for this position is $80,000 - $90,000 depending on knowledge, skills and experience.
MAJOR RESPONSIBILITIES:Ensures Efficient and Effective Operation of the Executive Office
  • Provides the highest level of confidentiality in the handling of all Executive Office matters
  • Assists in development of assigned budgets for the Executive Office
  • Develops and monitors assigned budgets
  • Collects, reviews and analyzes data as requested
  • Prepares reports, charts, budgets and other presentation material utilizing word processing, spreadsheets, or specialized software
  • Performs complex administrative and secretarial duties in the processing of correspondence, preparation of reports and presentations
  • Screens calls and responds to or routes routine inquiries from external or internal sources with appropriate correspondence or other messaging
  • Coordinates all communications and activities related to the annual international delegation
  • Stays abreast of all AASA activities and possesses a comprehensive knowledge of AASA’s policies and operations
  • Prioritizes conflicting needs handling matters expeditiously
  • Researches, prioritizes and follows up on incoming issues and concerns addressed to the Executive Director and assigned senior staff
  • Oversees special projects as assigned
Coordinates Activities of the Executive Office and Supports Other Assigned Senior Staff
  • Manages the day-to-day workflow of the executive office
  • Makes appointments and maintains and integrates schedules for the Executive Director and assigned senior staff
  • Schedules and coordinates staff and other meetings
  • Acts as the point of contact between executives and internal/external clients; receives calls, takes messages, and routes correspondence promptly and professionally
  • Develops agendas for meetings as assigned
  • Attends and takes minutes for meetings as required
  • Handles and processes all travel for the Executive Director and assigned senior staff, including flight bookings, accommodations, transportation, and creating itineraries for business trips
  • Prepares travel expense vouchers for assigned staff and submits to accounting for reimbursement
Supports AASA Reception Desk as Required
  • Collates and distributes mail as necessary
  • Greets visitors
  • Answers main phone line and directs calls
QUALIFICATIONS:Education: High School Degree required. College degree preferred.
Experience: Five-plus years of experience supporting C-level executives, preferably in a non-profit organization.

  • Knowledge about AASA and education issues preferred
Physical Demands: Regular use of desktop and laptop computers is common. Travel may be required and longer than normal hours of work at meetings and conferences may be expected.
