Summary:Personable, organized, dependable professional Receptionist. The ideal candidate will be the first point of contact for our clients, providing a welcoming environment. This role involves managing front desk operations, handling administrative tasks, and supporting our legal team to ensure the office runs smoothly. Key Responsibilities:
Front Desk Management:

  • Greet and welcome clients and visitors with a positive and professional attitude.
  • Answer, screen, and forward incoming phone calls, taking messages as needed.
  • Manage the reception area to ensure it is tidy and presentable.
  • Client Coordination:
  • Assist with client appointments, meetings, and consultations as needed.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Administrative Support:
  • Perform clerical duties such as filing, photocopying, scanning, and faxing.
  • Manage and distribute incoming and outgoing mail, packages, and deliveries.
  • Maintain office supplies inventory and place orders when necessary.
  • Communication:
  • Coordinate communication between clients and attorneys.
  • Prepare and distribute internal memos, notices, and announcements.
  • Data Management:
  • Assist with updating client records and files as needed.
  • Assist with legal documents and correspondence.

Qualifications:

  • Education:
  • High school diploma or equivalent required.
  • Additional training or certification in office administration or related field is a plus.
  • Experience:
  • Previous experience in a receptionist or administrative role
  • Familiarity with legal terminology and procedures is advantageous but not essential.
  • Skills:
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle phones in professional and efficient manner
  • Professional appearance and demeanor.
  • Personal Attributes:
  • Friendly, approachable, and customer service-oriented.
  • Reliable, punctual, and able to maintain a high level of confidentiality.
  • Ability to work independently and as part of a team

Work Environment:

  • Full-time position, Monday to Friday.
  • Office-based role hours 8:30 AM - 5 PM
