The Administrative Support Specialist for the Internal Audit Team provides comprehensive administrative support and handles various tasks to assist the Internal Audit function.

This role is essential in ensuring the efficiency of the audit team by managing records, preparing reports, verifying data, and performing other necessary tasks.

Job Description

  • Greet and direct visitors; manage incoming calls, schedule appointments, resolve conflicts, arrange travel, and handle mail distribution.
  • Establish and maintain office support procedures; monitor workflow to ensure adherence to quality and format standards and prioritize tasks to improve productivity.
  • Develop and maintain both manual and automated file systems for various administrative and management records, including financial and personnel records.
  • Produce typed statistical and narrative reports; proofread and edit documents for grammar, spelling, punctuation, and format accuracy.
  • Collect, organize, and verify the accuracy of data and information for reports; maintain records of financial transactions.
  • Prepare materials for large mailings; summarize, assemble, and compose factual reports, letters, and memos following established standards.
  • Interact with agency officials, board members, employees, representatives from other organizations, and the public regarding activities, schedules, and procedures.
  • Arrange meeting room setups and prepare for meetings of the Board of Commissioners and other events as required.
  • Provide information to management officials, commissioners, staff, and the public; disseminate information to local, state, and federal officials and the public in person and over the telephone.

Qualifications :

  • Comprehensive knowledge of administrative support and secretarial practices.
  • Proficiency in using office equipment such as computers, typewriters, copiers, telephones, and recording devices.
  • Ability to prioritize work processes, establish procedures, and meet deadlines in a high-pressure environment.
  • Effective communication skills, both oral and written, with the ability to handle complaints and sensitive, confidential issues.
  • Proven ability to interact effectively with management, commissioners, staff, and the public.
  • Experience in composing, proofreading, and editing written materials.
  • Minimum typing speed of 50 wpm is required, with 65 wpm preferred.
