Job Summary :

We are looking for a highly organized and detail-oriented Front Desk / Administrative Assistant to join our growing team.

This role requires the right candidate to deliver exceptional customer service assistance to visitors and staff. Additionally, the right candidate will multitask electronic filing, fax distribution, and packet mailing with a high volume of calls received throughout the day.

Essential Duties and Responsibilities :

  • Greets, welcomes, and directs visitors
  • Manages high volume of phone calls
  • Distributes incoming mail, faxes, and deliveries
  • Responsible for high volume of printing, mailing, and electronic file creation daily
  • Stamps mail and drops off daily to local post office
  • Files provider workshop certificates in their database file
  • Organizes and distributes testing materials as needed
  • Manages the lobby area and keeps it organized and clean
  • Maintains appearance and cleanliness of the office (kitchen, reception area, conference rooms)
  • Communicates any known office-related issues to the Office Manager / HR to ensure they are resolved in a timely fashion
  • Four holidays per year will be responsible for answering phones (Juneteenth, July 4th, Memorial Day and Labor Day) and on early dismissal days covering the front desk operations until the end of business day
  • Other duties as assigned by supervisor.

Education or Work Experience Requirements :

  • Bilingual Spanish required (verbal / written)
  • Bachelor’s degree preferred
  • Excellent customer service skills
  • Friendly, positive communicator via in-person, email, and phone.
  • Proficient in Microsoft Outlook, Word, Excel
  • Strong multi-tasker who has at least one year of prior office experience
  • No task is too big or too small.
  • Has a positive can-do attitude
  • Very strong organizational skills and ability to maintain pace of work in a busy environment
  • A team player who is detail-oriented and goal-driven.

Physical Requirements of the Role :

  • Occasionally ascends / descends stairs going to, while at, or leaving work location or facilities traveled to for work events.
  • Occasionally moving and / or lifting objects at work weighing up to 20 pounds such as files or copy paper.
  • Must be able to remain in a stationary position for prolonged periods of time up to 90% of the work day working on a computer / electronic device.
  • The ability to observe details at close range (within a few feet of the observer).
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

  • Compensation : Full-time hourly non-exempt $19-20 per hour
  • Hours : Monday-Friday 9 : 00am-6 : 30pm Monday-Friday. This position is in office.
