Job Title : Executive Administrator
Duration : 12 months (Possibility of extension)
Location : Deer Park, IL (Hybrid)
Pay rate: $35-40/hour on w2/without benefits
Description:
This is a very experienced administrative position applying for advanced and specialized administrative expertise and competencies. Regularly works on tasks that are varied and complex. Resolves issues, including a typical issues, and makes recommendations. Functions as a “go to” and may act as a lead assigning tasks and providing guidance to colleagues that may be supporting.
Essential Duties And Responsibilities:
• Provide executive-level professional administrative support to the Head of PL2 R&D. • Prepare and give input on materials for presentations utilizing Microsoft PowerPoint, Excel (extensive), and Word. • Schedule meetings, activities, and appointments. • Schedule monthly staff meetings and ensure appropriate documentation is received from all participants and/or uploaded. • Assists the AN leadership team on projects as requested by the Head of PL2 and Site Leadership. • Utilize SAP to gather the needed information. • Supply information, maintain files, and produce correspondence as requested. • Run and distribute monthly activity reports electronically. • Complete department metric reports. • Enter and approve PO requisitions, and workflows in SAP. Submit invoices for payment. • Plan and/or coordinate detailed travel arrangements (small and large groups) for both domestic and international travel using Concur. • Complete expense reporting for management personnel using Concur. • Perform clerical functions in support of AN departmental staff, including handling general inquiries, ordering and maintaining office supplies, distributing mail, and processing and monitoring invoices for payment. • Coordinate arrangements for meetings, local events, conferences, and workshops. • Prepare and coordinate meeting materials, presentations, and A/V materials. • Maintain assigned calendars and schedule meetings and conference calls. • Plan menus and refreshments for meetings and special events; reserve and set up associated conference rooms. • Must be comfortable maintaining a high level of confidentiality with sensitive information. • All other duties and projects as assigned
Skills:
• Able to identify and solve problems and to work within assigned deadlines with high attention to detail. • Strong organizational skills and the ability to multitask. • Excellent written and verbal communication skills. • Excellent computer skills, especially MS Office.
Experience:
A minimum of 5 years of previous related experience.
Education:
High School diploma/GED, and relevant experience required.
Additional Information:
The role is 2 days a week onsite, Tuesdays and Thursdays
