Position Summary:

The Human Resource Coordinator aids with and facilitates the human resource processes across all locations. This role administers employee health and welfare plans and acts as liaison between employees and insurance providers. This position resolves benefits-related problems and ensures effective use of plans and positive employee relations. The Human Resource Coordinator makes that certain plans are administered in accordance with federal and state regulations and that plan provisions are followed. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and HRIS entry. In addition, this position provider general office support to the Corporate Office. Finally, this position will act as the payroll backup and will run payroll once monthly.

Salary:

  • $55,000 annually

Essential Duties and Responsibilities:

  • Administers health and welfare plans, including enrollments, changes and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
  • Complete Benefit reconciliations and coordinates closely with finance on benefit cost management.
  • Manages the Leaves Program (including FMLA, Medical, union and state required leave of absences)
  • Manages the Garnishment Program in coordination with UKG.
  • Manages the HR posting requirement program, delivered via Poster Guard.
  • Completes BLS and regulatory reporting.
  • Manages the unemployment vendor and administrates the responses to unemployment claims.
  • Performs customer service functions by answering employee requests and questions.
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Conducts audits of payroll, benefits or other HR programs and recommends corrective action.
  • Assists with processing of terminations.
  • Assists with the preparation of the performance review process.
  • Assists with recruitment and interview process. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
  • Schedules meetings and interviews as requested by the CHRO.
  • Makes photocopies; mails, scans and emails documents; and performs other clerical functions.
  • Files documents into appropriate employee files.
  • Assists or prepares correspondence as requested.
  • Prepares new-employee files, Processes mail and union reporting.
  • Supports the corporate office by maintaining and stocking the café, supporting and lead employee appreciation events, maintaining office supplies and shipping materials.
  • Oversees the vendor relationship of Iron Mountain and FedEx.
  • Performs Payroll once monthly and acts as the payroll vacation relief.
  • Performs other related duties as assigned.

Education:

  • Bachelor’s degree in Human Resources, Labor Relations, Business, or related field required.
  • Three years of professional human resources administration, including two years in employee relations preferred OR its equivalent through training, education, and other experience.
  • Current human resources certification, such as PHR, SPHR, SCP, or similar, preferred.

Work Experience:

  • 2-5 years experience

Job Skills:

  • Thorough understanding of state and federal laws concerning labor relations.
  • Experience working within in a unionized, multi-state environment preferrable.
  • Ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and policies.
  • Thorough understanding of dispute resolution.
  • Although this role requires standard workweek hours, must be available outside of standard business hours to answer phone calls occasionally.
  • Ability to remain tactful, calm, and persuasive in controversial and/or confrontational situations.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with HRIS; ideally UKG Pro.
  • Excellent interpersonal, negotiation, and conflict resolution skills.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times.

Certificates, Licenses and Registrations:

  • Employee must have a confirmed 10-year background check (10 year listed; 5 year verified employment history verification or FBI fingerprint check for SIDA applicant purposes).

Travel:

  • Under 10%; Quarterly travel for 2-3 days at a time.

Schedule:

  • As needed including, holidays and weekend availability.
  • On-site in the office Tues-Thurs. Work from home Mondays and Fridays.
