Adams-Friendship Area School District is Hiring a Financial and Payroll Specialist Near Friendship, WI

Position Overview:

The Financial and Payroll Specialist is a full-time position that combines the responsibilities of Accounts Receivable and Payroll and Benefits management. This role requires a high level of confidentiality, proficiency in Skyward Financial, and a commitment to kindness and professionalism. The specialist will manage and operate the district’s payroll and benefits functions, handle accounts receivable tasks, and assist with various administrative duties in the district office.

Duties and Responsibilities:

Payroll & Benefits:

  • Manage and operate the district-wide payroll and benefits function.
  • Develop and implement procedures for online and physical check distribution of payroll to employees.
  • Maintain appropriate records and files for contracted staff.
  • Coordinate with benefits provider(s) to ensure all appropriate registrations and services for eligible employees.
  • Maintain district office cash accounts at appropriate levels through deposits, borrowing, and transfers.
  • Work with all employees to maintain up-to-date records.
  • Advise new staff on all payroll and benefit requirements and options available.
  • Prepare and submit all required state and federal reports.
  • Ensure all reports and files are available as appropriate for auditors.
  • Ensure district compliance with applicable state and federal legislation.
  • Develop positive relationships with appropriate financial institutions used by the district for payroll and benefits processing.
  • Serve as administrative assistant for the business manager.
  • Assist with district office general administrative and clerical duties as needed.
  • Maintain a current administrative and technical knowledge base through business networks, educational workshops, and professional publications.
  • Additional duties as deemed appropriate at the sole discretion of district leadership.

Accounts Receivable:

  • Devise and prepare financial documents enabling monthly board approval of district expenditures.
  • Process approved internal expense reports covering items such as travel, refunds, and supplies reimbursements.
  • Develop and implement procedures for timely payment of approved financial contracts and authorizations.
  • Generate and distribute payments (online and checks) as appropriate weekly and monthly.
  • Maintain and assist staff with substitute notification software.
  • Complete and distribute annual federal and state documents to the agencies and vendors as required.
  • Receive and record district checks and cash payments.
  • Serve as administrative assistant for the business manager.
  • Develop and maintain records of student scholarship status, including receipting and disbursing of funds.
  • Manage physical and online retention of all appropriate district financial records.
  • Maintain records enabling administrative review of district expenses and revenues such as utilities, tax reimbursements, and grant claims.
  • Assist with district office general administrative and clerical duties as needed.
  • Maintain a current administrative and technical knowledge base through business networks, educational workshops, and professional publications.
  • Additional duties as deemed appropriate at the sole discretion of district leadership.

Qualifications

  • Proven experience in payroll and benefits administration, as well as accounts receivable management.
  • Demonstrated kindness and positivity in all interactions with staff and stakeholders.
  • Strong ability to build and maintain positive relationships within the school district community.
  • Proficiency in Skyward Financial software.
  • Strong organizational and recordkeeping skills.
  • Excellent communication and interpersonal skills.
  • High level of professionalism and confidentiality.
  • Ability to work collaboratively and independently.
  • Knowledge of applicable state and federal legislation.
  • Commitment to ongoing professional development.
