We are seeking an Administrative Assistant to join our team!

We are currently looking for a highly organized and detail-oriented team player to support a wide range of business functions. The preferred candidate is an experienced and self-motivated individual who values professionalism, is client-focused and has a strong work ethic.

What will be your responsibilities?

  • Answer and transfer phone calls, and screen calls when necessary.
  • Welcome and direct visitors and clients.
  • Maintain filing systems as assigned.
  • Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed.
  • Respond to and resolve administrative inquiries and questions.
  • Coordinate and schedule travel, meetings, and appointments for managers or supervisors.
  • Prepare agendas and schedules for meetings.
  • Record and distribute minutes or other records for meetings.
  • Maintain office supplies and coordinate maintenance of office equipment.
  • Maintain a system for recording expenses and the use of petty cash.
  • Perform other related duties as assigned.

What are the requirements to be successful?

  • You have an Associate’s Degree and three to five years of experience in an administrative role.
  • You thrive in a high-volume, fast-paced, work environment.
  • You are a multi-tasker and you can quickly prioritize and organize your work to complete tasks of an immediate nature.
  • You hold yourself to the highest professional standards and maintain strict client confidentiality.
  • You are proficient in Microsoft Excel. Microsoft Word, Outlook, and Teams. Quickbooks is a plus. You have a willingness to learn new software programs.
  • You are exceptionally detail-oriented with strong verbal and written communication skills.
  • You love collaborating and contributing to being part of a team but also enjoy working alone with limited supervision.
  • You will work overtime as needed.
  • You have the focus required to meet deadlines with a dedication to detail and follow-up.
  • You have excellent interpersonal and customer service skills.
  • You understand clerical procedures and systems such as recordkeeping and filing.

Physical requirements include prolonged periods sitting at a desk and working on a computer and the ability to lift up to 15 pounds at times.
This is a full-time salaried non-exempt position with the possibility of flexible work hours.
