JOB TITLE: Accounting Coordinator – Career and Technical Education

REPORTS TO: Director for Career and Technical Education

WAGE/HOUR STATUS: Exempt

 PAY GRADE: AM-2

PRIMARY PURPOSE:

The Accounting Coordinator will oversee local budgets and federal grant budgets by tracking purchases and disbursements. Prepare department contract payroll. Prepare spreadsheets for CTE funded supplemental payroll. Provides support to financial functions; conveying and updating fiscal information, and ensuring that expenses are within budget limits and fiscal practices are followed.

QUALIFICATIONS:

Required:

  • Bachelor’s Degree in accounting from an accredited college or university
  • Two years job related experience

Preferred:

  • Three years classroom experience

MAJOR RESPONSIBILITIES AND DUTIES:

  • Monitor, oversee and maintain CTE local department budget and federal grant budgets
  • Monitor, oversee and maintain school-based CTE grant spending
  • Reconcile budget account balances for the purpose of maintaining accurate account balances and complying with accounting requirements
  • Prepare MOU and/or contracts for CTE
  • Prepare CTE payroll and supplemental payroll
  • Interact with teachers
  • Prepare budget changes and journal entries
  • Maintain physical and computerized files
  • Input requisitions and process purchase orders for all grants and local budgets and ensure timely payments
  • Release purchase orders for payment
  • Prepare deposits
  • Work closely with Purchasing, Finance, and Payroll offices to expedite transactions
  • Process travel advances, final trip forms, and local mileage cards
  • Contact vendors for quotes and work with them on price increases and product availability
  • Distribute checks
  • Print current budgets and maintain spreadsheets for CTE director
  • Financial Liaison to CTE Advisory Board
  • Submit stipends payment forms for CTE staff
  • Monitor, oversee and maintain JROTC budgets
  • Monitor, oversee and maintain Westfield Day Care Budget
  • Reconciliation and submission of Texas Workforce Solution Match Grant Agreement for Westfield Day Care facility
  • Process and submit requests for payments of contract employers for CTE contracted services
  • Maintains confidentiality of information
  • All other duties as assigned

WORKING CONDITIONS:

Mental demands: Ability to solve problems and deal with a variety of situations; ability to interpret a variety of data; ability to interpret TEC and policy; ability to apply knowledge of current research and theory, ability to be effective in both oral and written communication; ability to maintain emotional control under stress.
