PRIMARY PURPOSE:

To assist and support the administrative staff of the Human Resources Department in all facets of the recruitment, hiring, onboarding, and employee relations processes for the District.

MINIMUM QUALIFICATIONS

Education and Certification Requirements

  • High school graduate or GED equivalent
  • Candidate must have satisfactory outcome of fingerprinting background check

Special Knowledge and Skills

  • Demonstrate effective written and verbal communication skills
  • Demonstrate ability to use personal computer software packages
  • Maintain high standards of excellence in performance and productivity
  • Proficient skills in keyboarding, word processing and file maintenance
  • Ability to use personal computer and software to develop spreadsheets and databases and do word processing
  • Basic math skills and ability to use calculator (10-key by touch)
  • Ability to meet established deadlines
  • Demonstrated organizational skills
  • Demonstrated problem solving skills
  • Ability to follow oral and written instructions
  • Ability to perform assigned duties and responsibilities with limited supervision
  • Ability to work with others and maintain an effective working relationship with co-workers, supervisors, school personnel, and the public
  • Bilingual

Experience:

  • Minimum of one (1) year successful experience in an office environment 

MAJOR RESPONSIBILITIES AND DUTIES:

  • Respect the confidentiality of the position
  • Work in collaboration with departments, district staff
  • Comply with confidentiality and privacy laws, procedures and policies as they pertain to the position and work in the Human Resources Department
  • Assist with the screening of candidates for all hiring areas as needed
  • Assist and participate in job fairs and hiring efforts
  • Ensure that applicants and their records are screened to ensure the safety of the students
  • Complete the collection of applicant paperwork and references
  • Responsible for ensuring all required documents are submitted by the applicant, and verified as required for the position
  • Request, track and maintain fingerprint verification for compliance with Senate Bill 9
  • Create and maintain data bases related to all identified areas of responsibility as needed
  • Assist with tracking and competing the annual issuance of Letters of Reasonable assurance
  • Comply with all directives and procedures related to acquisition of certificates, licenses, and college transcripts as required
  • Enter all hired personnel information into the District’s Frontline system
  • Conduct one-on-one applicant on-boarding sessions, as needed
  • Provide training and technical assistance to campus and department staff for the Frontline system, as needed
  • Update employee system data in the Frontline system on a regular basis
  • Process new hire forms and ensure all documents are in order
  • Creates and distributes personnel badges for new hires
  • Prepare verification of employment forms and reference letters for substitutes seeking outside employment or financial aid
  • Provides clerical support to the Human Resources Department as needed
  • Perform other duties as assigned, based on department needs
  • Work extended hours and/or work weeks as required throughout the year

  • Requires a basic knowledge of technology/computer skills
  • Ability to use personal computer to access district programs, emails, and other resources
  • Maintain a consistent professional demeanor and appearance

  • Daily attendance and punctuality at work are essential functions of the job

  • Work with frequent interruptions and maintain emotional control under stress

Physical Demands:

  • Frequent: Sitting, standing, walking, climbing stairs and/or ramps, balancing, stooping, kneeling, crouching, crawling, pulling, pushing, reaching, repetitive hand motions, hearing, speaking clearly, visual acuity, distinguishing colors, driving, traveling
  • Occasional: Lifting, moderate, 15-44 pounds

Environmental Factors:

  • Frequent exposure to: temperature extremes (hot and cold), humidity extremes, noise, low or intense illumination, vibration
  • Occasional exposure to: biological hazards (communicable diseases, bacteria, insects, mold, fungi, etc.)
  • Work alone, work prolonged or irregular hours
