JOB SUMMARY:

The Program Assistant will ensure the smooth operation of all daily activities provided by AdvanceCare Health

Services, LLC. All work is confidential and complex in nature, requiring exposure to sensitive information and considerable discretion, tact, and diplomacy. This position requires the ability to exercise independent judgment.

This is a hybrid of work-from-home position, and coming to the office as the department needs require. Must have an excellent driving record.

You must have high-speed internet and prefer to have a 27" or larger monitor, keyboard & mouse for use with our company laptop. (If you live within a 1-hour drive of the office, we can loan you a monitor, keyboard & mouse as well as the laptop).

ESSENTIAL JOB FUNCTIONS:

● Carries out responsibilities in accordance with office policies and procedures.

● Maintains a good working knowledge of all rules and regulations that govern the program.

● Assess training needs and select training tools for team members.

● Recognize areas for internal improvement and develop plans for implementing them.

● Enforces standard company policies and procedures and ensures staff is in compliance.

● Develop schedules for the new calendar year annually to include evacuation drills, medical

appointments, reports, meetings, etc. Provides completed schedules to the Program Director as requested.

● Ensures that clients’ permanent files are developed and maintained according to policy/procedure.

These files are to be kept electronically and in order.

● Updates client emergency client lists, client personal records, health care plans, and program staff contact lists.

● Assure that all supervised staff is informed when policies are revised.

● Provide timely, professional, responses to internal and external communications received via email, voicemail, and postal mail, and/or hand delivered to the office.

● Maintains client and employee confidentiality.

● Maintains a good working relationship with the Vice President, Director, staff, and service recipients.

● Performs other duties as assigned and needed.

SKILLS AND KNOWLEDGE REQUIRED:

● Provides necessary organization, supervisory, leadership, and motivation to manage office operations.

● Ability to perform essential job functions above.

● Ability to work cooperatively and courteously with others.

● Temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner.

● Strong leadership and organizational skills.

● Ability to manage multiple tasks and projects.

● Thoroughness and careful attention to detail.

● Ability to document required information and implement specialized protocols and program presentations.

● Ability to analyze documents and identify issues and improve productivity.

● Ability to think and operate independently with minimal supervision.

● Highly developed interpersonal, organizational, written, verbal, presentation, coordination, and multitasking skills.

● Ability to handle all situations with professionalism and a positive attitude and be able to effectively communicate with individuals at all levels of the organization.

● Knowledge of office computer applications and Microsoft Office suite of applications (e.g. Word, Excel, PowerPoint) and/or business management software.

REQUIREMENTS:

● High school diploma or GED equivalent, with a minimum of three years’ office management

Experience and/or college degree in a business administration related field.

● Experience in a healthcare or corporate environment is preferred.

● Satisfactory references from employers and/or professional peers.

● Satisfactory criminal background check.

● Self-directed with the ability to work with little supervision.

● Accepts performance-based criticism and direction.

● Meets attendance requirements established by the company handbook & department director.

● Works a flexible schedule including long hours and overtime when needed.

You must be flexible and willing to work and learn on the fly!
