Accounting Administrator at Advanced Business Solutions
Reports to: CFO
Hours Required: Full Time (40 hours per week)
Salary Range: $42,000-$45,000/year
The Advanced Business Solutions Accounting Administrator is an on-site position that plays an integral role in maintaining financial stability and transparency within the organization. This position requires a proactive and dedicated individual to ensure the smooth functioning of financial operations who has a demonstrated willingness to help their coworkers and clients of the company.
ABS was founded in 1995 as a Customer Service company first and an IT Service company second. Essential Duties
The responsibilities of the ABS Accounting Administrator include, but are not limited to, the following:
  • Assisting in the monitoring and control of company expenses, ensuring adherence to budget guidelines, and highlighting any unusual or unauthorized expenses.
  • Accurately entering financial data into accounting systems and maintaining up-to-date records of financial transactions, including invoices, receipts, payments, and expenses.
  • Managing the invoice creation process by collaborating with various departments to ensure accuracy and timeliness and auditing them for accuracy.
  • Working with clients to ensure proper invoicing by answering questions regarding invoices, verifying discrepancies, and resolving them.
  • Creating credit memos as needed.
  • Applying open credit memos and overpayments as appropriate.
  • Communicating with clients regarding past due invoices for payment status, tracking these communications through creation of tickets within the company’s ticketing system, and working with other departments for additional support when needed.
  • Researching short pays.
  • Managing trade agreements with business partners.
  • Updating clients’ monthly agreements with change requests as needed.
  • Overseeing licensing updates and reconciliation for clients.
  • Processing invoices, ensuring proper documentation, and coordinating with vendors and clients to resolve any payment issues.
  • Regularly reconciling credit card statements with company records to ensure accuracy and identify discrepancies.
  • Receiving payments via check and the company’s online payment portal.
  • Managing the company’s payment portal.
  • Coordinating with vendors for accounts payable processes.
  • Providing general administrative support including making bank deposits, stocking office supplies, updating employee and client records, and maintaining office files.
  • Providing support and back up coverage as needed to other members of the Administration team in areas of Procurement, Human Resources, and Finance.
  • Assisting the finance team with any additional tasks as required, such as special projects or process improvements.
Qualifications
  • Strong attention to detail and accuracy in data entry and financial record-keeping.
  • Proficiency in QuickBooks and Excel.
  • Basic understanding of financial principles and practices.
  • Excellent organizational and time management skills to meet deadlines.
  • Strong communication and interpersonal abilities to work effectively with team members and stakeholders.
  • Ability to handle confidential financial information with discretion and integrity.
