Under direction of the Clinical Director, the Front Desk Representative performs a variety of tasks for the clinic as the first contact via telephone by the prospective patient with the clinic. This includes gathering patient information, a copy of their insurance card and photo identification and communicating with patient regarding financial responsibility. Works with other departments as needed to assure efficient and effective patient care process.
JOB DUTIES AND RESPONSIBILITIES
Performs day to day administrative functions and general office duties including but not limited to word processing, copying, filing, faxing, answering phones and data entry.
Provides information to clinic callers according to the clinics policies and procedures; transfers call as needed; works with team to ensure adequate phone coverage at all times.
Welcomes and greets patients, clients, visitors to the department in a manner that is helpful and friendly; determines purpose of visit and directs to appropriate person or department
When Scheduling appointment, carefully screens patient for new address, net patient visits or update registration and informs patient of adequate information that must be presented at time of visit
Must exercise utmost diplomacy and tact to provide excellent customer service for patients, practices confidentiality and privacy protocols in accordance to clinic policies and HIPAA requirements.
Adheres to all clinic policies on safety and security; maintains restricted areas safe by safeguarding keyless entry codes and computer system passwords in strict confidentiality
Maintains patient waiting areas, office files, and front desk areas in manner that is organized and neat. Informs patient of any existing balance noted in computer and request patient be prepared for any payment due at time of visit.
Calls patients daily to confirm next days appointment.
Verifies method of payment for service and collects data and/or payment as appropriate.
Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.
Attends scheduled department staff and clinical meetings.
Performs other duties as assigned or requested within scope of practice.
Qualifications QUALIFICATIONS (Education, Experience and Certifications)
Graduation from high school or equivalent
6 months front desk experience in a comparable medical setting
Multi-line phone experience along with basic telephone etiquette and excellent interpersonal skills
Understanding of insurance (health) plans and benefits and experience with financial counseling of patients preferred
Knowledge of Microsoft Office. Medical terminology and coding experience helpful
KNOWLEDGE, SKILLS AND ABILITIES
Ability to multi-task, utilize critical thinking skills, organize, determine priority of duties, some computer skills, effective oral and written communication skills, work independently, work with frequent interruptions, and manage stressful situations.
