Job OverviewWe are looking for a detail-oriented and highly organized Contract Administrative Assistant to provide comprehensive administrative support to our Quality Assurance department. The successful candidate will play a crucial role in ensuring the efficient and smooth operation of contract management processes within the company. This position is ideal for someone who thrives in a fast-paced, dynamic environment and possesses excellent organizational and communication skills. This is a full-time, 4 month contract position. Responsibilities
Assist with the preparation, review, and tracking of documents, including agreements, amendments, and addendums.
Monitor contract renewals, expirations, and deadlines to ensure timely actions and proactively alert relevant stakeholders.
Coordinate and schedule meetings, conference calls, and appointments related to contracts, and prepare necessary documentation and materials.
Assist in maintaining strong working relationships with external stakeholders, such as suppliers, partners, and customers, regarding contract-related inquiries and issues.
Support the contracts team in conducting research and gathering information on industry trends, regulations, and best practices to ensure compliance and optimize contract processes.
Handle confidential and sensitive information with the utmost discretion and maintain strict confidentiality.
Requirements
High school diploma or equivalent; additional relevant certifications or education in business administration or a related field is a plus.
Proven experience as an administrative assistant, preferably in a contracts or legal department, within the medical device or healthcare industry.
Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
Excellent attention to detail and accuracy in document preparation, data entry, and record-keeping.
Proficient computer skills, including MS Office Suite (Word, Excel, PowerPoint) and contract management software.
Strong communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
Exceptional time management skills and the ability to work independently or as part of a team.
