The Role

We are excited to announce an opportunity for a driven individual to join the Portland Thorns FC team as the Manager, Special Projects. In this role, you will take charge of various organizational projects, nurture a positive internal culture, ensure seamless communication with all constituents, and deliver exceptional hospitality experiences. Your diverse responsibilities demand exceptional organizational prowess, professionalism, customer service and keen attention to detail.
As the key support for our President, you will oversee the operational aspects of our business office, provide executive support, manage board relations, and deliver top-tier concierge services to our esteemed ownership and VIP guests. The successful candidate will be pivotal in maintaining the efficient functioning of our office while embodying the essence of the Thorns Brand through meticulously crafted events and experiences.

What You'll Be Up To:
  • Project Management: Take ownership of designated projects, overseeing them from conception to completion with minimal supervision. Develop project plans, set timelines, allocate resources, and ensure all deliverables are met on time and within budget.
  • Board Relations: Prepare board materials, including agendas, presentations, and reports, ensuring accuracy and timeliness. Coordinate schedules and board meeting locations when in-person, food setup, etc. Facilitate communication between senior management and the board, disseminating information and addressing inquiries as needed.
  • VIP Concierge Services: Provide personalized concierge services to ownership and VIP guests, ensuring their needs are met and expectations exceeded. Act as the on-site point of contact for ownership and VIP hospitality, including on match days, managing VIP areas, coordinating special experiences, and resolving any issues or concerns promptly.
  • Staff Communication and Culture: Assist in developing and implementing internal communication strategies to ensure staff are informed and engaged.
  • Coordinate staff meetings and events, helping to create a healthy and fun internal culture. Collaborate with cross-functional teams to organize team-building activities, recognition programs, and other initiatives to foster a positive work environment.
  • General Administrative Duties: Manage day-to-day administrative functions from prompt email response, and handling correspondence. Assist in the preparation of reports, presentations, and documents, including board materials. Coordinate and manage calendars, scheduling meetings, appointments, and travel arrangements efficiently. Assist with scheduling and coordination of staff meetings and events.
  • Office Management Duties (w/Practice Facility): Supervise office operations, including organizing office layout, managing vendor relationships, and ensuring compliance with safety and security protocols. Handle logistical arrangements for office events, meetings, and conferences.
  • Embrace additional responsibilities as directed, embodying versatility, and adaptability in your professional journey.
What It Takes To Be A Thorn
  • Degree in Business Administration, Project Management, or a related field.
  • Minimum of 3 years of experience in project management, administrative management
  • Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships with partners and internal team members.
