About the Team

AeroTEC’s Engineering Services Division supports and provides comprehensive, full-service aerospace engineering services to customers in aircraft design and certification. The Engineering Services Department is responsible for providing engineering consulting services related to aircraft performance, similarity analysis, reviewing and supporting certification activities, determining test requirements, and planning and documenting testing to meet customer needs. The Engineering Services Department provides expertise in Flight Sciences, Electrical Systems, Mechanical Systems, Powerplant, Air Systems, Safety, Structures Design, Stress Analysis, Certification Engineering and Document Control.

About the Role

The Group Lead - Document Management maintains the organization’s Document Management System (DMS). This includes documenting, updating, and maintaining workflows and process documents for the organization. As part of these responsibilities, this position designs automated workflows within the DMS. This position also coordinates all Export Control activities for the organization, and does administrative projects as assigned by his/her manager. This role requires the significant exercise of independent discretion and judgment in matters of significance.

In This Role You Will:

Document Control

  1. Maintain the organization’s Document Management System (DMS), ensuring all documents (e.g. versions, approved documents, etc.) and processes are filed and controlled according to company quality standards.
  2. Guide stakeholders to write processes that follow company guidelines. Share best practices to ensure efficiency, quality and effectiveness of the process.
  3. Collect information and business requirements from process stakeholders to develop and document future state (“To Be”) processes according to company quality guidelines and standards. Develop and implement new automated workflows in DMS as needed.
  4. Develop and implement automated workflows in DMS.
  5. Develop company’s procedures and practices to manage and run the DMS itself. Act as main company liaison for DMS with internal IT Department as well external vendor (e.g., TeamCenter).
  6. Create and maintain DMS training for all AeroTEC personnel
  7. Train users and back-ups on DMS as needed.
  8. Perform review and release protocol for all documents.
  9. Receive, track and respond to all change requests for the DMS.
  10. Create Engineering Coordination memos. Distribute to appropriate manager for approval when appropriate. Forward memos to appropriate customer.
  11. Receive Engineering Coordination memos from customers. Distribute to appropriate parties (e.g. manager, engineer, etc.).
  12. Collect, secure and appropriately distribute requested proprietary information between customer and employee.

Export Control

  1. Act as Export Compliance Officer for the company. Act as Subject Matter Expert regarding EAR and ITAR.
  2. Develop and maintain the company’s written Export Management Control Plan, including any/all sub-sections (e.g. Visitor Process).
  3. Act as the main liaison with external consultants regarding export control advice issues.
  4. Research any/all questions regarding Export Control for management and employees. Track questions and answers for records compliance.
  5. Manage and retain all related records for compliance.
  6. Prepare applications for export licenses and other authorizations, as well as requests for commodity jurisdiction and classification determinations.
  7. Work with company management to ensure continuity and integration of the company’s export compliance program with all aspects of the company’s business.
  8. Develop and implement compliance training for all company employees. Administer advanced and basic trainings to appropriate stakeholders.
  9. Identify potential areas of compliance vulnerability and risk. Make recommendations for corrective action plans to resolve problematic issues and provide general guidance for avoidance of those issues in the future.
  10. Identify, investigate and, if necessary, disclose potential violations of Regulations and Authorizations approved to AeroTEC. Work with the Empowered Official and management to resolve any Export Incident Reports.
  11. Create and maintain Export Control and ITAR training for all AeroTEC personnel as well as customized training designed for key personnel engaged in the export control process or any AeroTEC personnel involved in EAR or ITAR covered programs.

Administrative

  1. Complete special projects and tasks as assigned by manager.

The Skills You Will Bring (Minimum):

Education

  • Bachelor’s degree in Business or related field from an accredited institution.
  • Additional coursework and/or certification in Project Management and/or Process Improvement (e.g. PMP, Lean, Six Sigma) - Preferred.

Experience

  • Four (4) years of experience working in a Document Control or Export Control function (or related area), where making recommendations regarding compliance and process improvement are commonplace.
  • Two (2) years of experience documenting business processes and identifying areas for improvement.

The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • Occasional travel (<25%; flight, automobile) to Moses Lake Flight Test Center required.
