Ai is Hiring an Administrative Assistant l - Shareholder Only - Ahtna, Inc Near Glennallen, AK

Summary:

Please Note: This position is open to Shareholders only.

The Administrative Assistant provides exceptional customer service as the first point of contact when visitors or shareholders visit or call the reception desk. Performs administrative and office support to the staff in the Glennallen office. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations and filing. Microsoft Office Suite proficiency, Internet research abilities and strong communication skills are required. Position includes training/education to qualify for advancement.

This is a Temporary position in our Glennallen, AK office.

Essential Duties and Responsibilities: (including but not limited to)

  • Answers incoming telephone calls, determines purpose of callers, and transfer calls to appropriate personnel or department. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Welcomes on-site visitors, determines customer's nature of business, and announces visitors to appropriate staff members, and directs them to sign-in.
  • Provides general information in response to inquiries about Ahtna, its mission, activities, or personnel.
  • Maintains break rooms and production rooms cleanliness. Manage Inventory for break rooms and production by restocking and ordering of supplies.
  • Maintains cleanliness kitchen areas and keeps counters clean.
  • Maintains cleanliness of conference rooms.
  • Prepares coffee throughout the day.
  • Maintain security for office building through badging, sign-in/out and monitoring their locations. Keep attentive for suspicious persons that should not have access.
  • Trains other staff on front desk procedures when necessary.
  • Provides general administrative support to all Glennallen staff.
  • Assists in the preparation and cleanup of Ahtna staff meetings and employee events.
  • Conducts research projects.
  • Updates standard operating procedures for the front desk reception area.
  • Assists others with administrative projects and performs miscellaneous duties as assigned.
  • Uses computer for various software applications, such as Word and Excel.
  • Assist in preparing meeting materials in a timely manner.
  • Other duties as assigned.

Minimum Qualifications:

All levels:

  • High School Diploma or equivalent
  • Proficient with MS office software (Word, Outlook, Excel, and PowerPoint). The work requires ability to use and maintain directories, lists and other manuals
  • Exceptional attention to detail with proven interpersonal skill
  • Uses time management, prioritizes, and adheres strictly to policies and procedures.
  • Strong organizational skills and the ability to independently prioritize workload and tasks to optimize production
  • Valid driver’s license
  • Must be able to pass a background check and drug test

Level - I

  • One (1) to Three (3) years of relevant working experience in an administrative based position.

Preferred Qualifications:

  • Experience and knowledge of Alaska Native cultures

Shareholder Preference:

Pursuant to PL 93-638, as amended, preference will be given to qualified Ahtna Native Corporation Shareholders, Descendants, and Spouses in all phases of employment.

Working Environment:

Generally, indoor office environment with frequent interruptions, often noisy, high paced atmosphere with tendencies of having an extremely heavy work load. While outdoors may be subject to site conditions, changes in temperature, weather conditions and noise levels.

Physical Demands (including but not limited to):

Frequent sitting for prolonged periods of time, using hands/fingers requiring dexterity and coordination to handle files and single pieces of paper, reaching with hands and arms for items above and below desk level, talking, hearing, and seeing (up close, at a distance, along the periphery, with depth perception, and the ability to adjust focus); walking from place to place within the office with occasional use of stairs and no elevator available; bending, pushing, pulling, and standing for up to 2 hours; occasional lifting of up to 25 pounds such as small office equipment, files, stacks of paper, reference and other materials.

Work is generally performed in an office setting with ability to speak and receive phone communications often. Work requires computer usage with strength, dexterity, coordination and visual acuity to use keyboard and video display terminal and other office equipment

Work Schedule: Monday – Friday; 8a – 5p, 40 hours per week
