AKA Hotels+Hotel Residences is Hiring a Conference Services Manager Near Alexandria, VA

Hotel AKA Alexandria is on the lookout for a talented Conference Services Manager to join our dynamic team!

In this role, you will be responsible for overseeing conference services, nurturing relationships with small groups, and providing essential sales support, be responsible for servicing the property’s top accounts and securing group business. The CSM is the primary contact for meeting and event planners and is and responsible for planning and finalizing details, ensuring a successful group and repeat bookings.

Team Member Responsibilities

  • Partner with Food and Beverage, Accounting, and Front Office Operations daily to communicate updates to billing procedures, menus, meeting space set-up, and VIPs
  • Audit group contract and Delphi contacts and bookings, to ensure accuracy of dates, VIP requests and blocked meeting space
  • Process Banquet Event Orders in a timely manner for the clients, happily accommodating any changes that are within scope and communicating with team
  • Distribute Banquet Event Orders and group resumes to appropriate hotel departments to facilitate efficient purchasing, planning, and employee scheduling
  • Available to meet with clients for pre-convention meetings as required, and host the meeting to include Department heads, upon client request
  • Assists Director of Sales and Director of Food and Beverage with menu recommendations and updates as needed
  • Partner with team to field group leads and quote, book, and service social and small corporate group blocks at Hotel AKA Alexandria.
  • Following group conversion, provide planning and onsite services as requested
  • Partner with Catering Manager to further drive social events from existing group contract blocks
  • Support Business Travel segment as requested to include providing administrative support during RFP season ensuring leads are responded to in a timely manner, ensuring internal CRM system is up to date and rates are loaded
  • Join weekly area sales meeting to review all segments, forecasts, and collaborate on forward-thinking actions
  • Prepare reports and additional tasks as required by the Director of Sales

Required Skills and Qualifications:

  • Bachelor's degree from a four‐year College or University preferred
  • Minimum 2-3 years in hospitality required, preferably in a sales or operational setting
  • System knowledge preferred in Windows, Opera PMS, Social Tables, and Delphi
  • Strong guest service, problem-solving, and decision-making skills
  • Must be energetic, self-starter, and detail-oriented with exceptional interpersonal skills.
  • Excellent verbal and written communication skills
  • Strong time management, and organization skills with an emphasis on attention to detail
  • Ability interact with a diversified group of people both internally and externally
  • Adaptable to daily frequent changes in a fast-paced environment
  • Flexible schedule required based on client needs and time zones
