Job Summary:
This position is responsible for routing a high volume of incoming telephone calls appropriately and scheduling appointments.
Essential functions
Operator activities 95 percent of time
Receives incoming telephone calls. Responds to requests for basic information. Determines calling patients' needs, and responds by scheduling appointments or routing calls to the appropriate departments.
Schedules patient appointments. Determines reason for visit requests. Decides what type of appointment category in which to enter the patient. Schedules needed appointments appropriately.
Responsible for gathering new patients information and demographics when scheduling their appointments.
Operates paging system for individuals and making general announcements.
Manage large amount of inbound and outbound calls in a timely manner
Schedule large amount of appointment requests via phone, fax, patient portal and other forms of electronic communication according to detailed scheduling protocols in a very accurate manner
Identify patients’ needs, clarify information, provide appropriate response or route calls accordingly
Foster customer / patient care and engage customers by delivering exceptional customer service
Ability to learn and comprehend basic level operating procedures for multiple departments to reduce call transfers and expedite customer care
Keep accurate and detailed records in our EHR system of patient conversations and vital appointment details
Proactively engage our patients via phone and mail to ensure the highest service levels are being met
Follow up patient calls where necessary
