Albuquerque Public Schools is Hiring an EXECUTIVE ADMINISTRATIVE ASSISTANT: SUPERINTENDENT OF SCHOOLS Near Albuquerque, NM
To assist the Superintendent of Schools in the operation of the district managing the Superintendent's office and its related functions utilizing District Resources effectively and efficiently. ESSENTIAL FUNCTIONS: Incumbent must achieve the following outcomes with or without reasonable accommodation:
Provides administrative support to the Superintendent of Schools communicating information, updates and priorities.
Responds to internal and external inquiries received in writing or by telephone screening, obtaining or providing the necessary information, or forwards to the appropriate personnel. Ensures timely turn around and follow up.
Manages calendar and appointment schedule for Superintendent maintaining, updating, coordinating and revising on a daily basis, determines appointments and schedules to be scheduled or rescheduled and follows up throughout day with phone calls or messages to ensure Superintendent stays on schedule or to updates with additional information.
Attends meetings and committees participating, chairing, and/or taking notes at the request of the Superintendent.Receives and processes incoming correspondence determining how to handle, how to respond, who should respond, what appointments or invitations fit with schedule, having regrets issued, etc.
Reviews and proofs correspondence received for Superintendent's signature, obtains corrections or changes, and ensures timely turn around.
Writes, prepares and sends out Superintendent's correspondence.
Coordinates conferences and meetings for Superintendent including planning, organizing and preparation of materials, rooms, audiovisual, refreshments, etc. Attending as needed.
Develops, updates and maintains department's budget processing invoices, charging appropriate cost accounts and producing reports as necessary. Acts as Control Agent.Arranges travel and maintains travel accounts.
Researches, analyzes, evaluates and organizes the preparation of materials, reports, documents, etc.
Assists in the development and revision of district policy.
Maintains and safeguards confidential files and information.
Takes and transcribes dictation as needed.
PREFERRED KNOWLEDGE, SKILLS, ABILITIES AND EXPERIENCE:

Demonstrated experience in public relations.
Working knowledge of a school district and its' operations.
Proofreading and editing skills.
Knowledge of bookkeeping/accounting practices.
Bilingual (English/Spanish).
REQUIREMENTS:
Associates degree in business related study and seven years executive level secretarial experience OR High School Diploma or equivalent and 9 years executive level secretarial experience.
Proficient with Microsoft Office software.
Exceptional secretarial skills (word processing, dictation and transcribing).
Keyboard 60wpm.
Ability to compose and edit written communications.
Exceptional organizational skills.
