Office Assistant/Bookkeeper
We are looking for a part-time/full-time office assistant/bookkeeper to help organize and coordinate administration duties and office procedures. Your role will be to ensure high levels of organizational effectiveness, communication and safety. Previous experience as a construction or over the road truck office assistant would be an advantage. A successful office assistant/bookkeeper should have experience with a variety of office software (email tools, spreadsheets and databases), be able to accurately handle accounting and administrative duties. Ultimately, the office assistant/bookkeeper should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation. Reports to Office/Project Manager of company.
RESPONSIBILITIES:
Serve as the point person for office/project manager, duties include: administration, minimal accounting, filing maintenance, mailing, supplies, data entry, errands, shopping
Help ensure that all items are invoiced and paid on time
Answers telephone and emails
Schedule meetings and appointments
Assist with the office layout and ordering stationery and equipment
Maintain the office condition and arrange necessary repairs
Help establishes and implements office operations, routines, procedures, and filing systems
Assist the Office and Project Manager with any other tasks at hand
SKILLS:
Previous office experience, preferably construction/over the road trucking
Knowledge of office responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook) and Quick Books
Hands on experience with office machines (e.g. fax machines and printers)
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
A creative mind with an ability to suggest improvements
