Alex's Lemonade Stand Foundation (ALSF) emerged from the front yard lemonade stand of 4-year-old Alexandra “Alex” Scott, who was fighting cancer and wanted to raise money to find cures for all children with cancer. Her spirit and determination inspired others to support her cause, and when she passed away at the age of 8, she had raised $1 million. Since then, the Foundation bearing her name has evolved into a national fundraising movement. Today, ALSF is one of the leading funders of pediatric cancer research in the U.S. and Canada raising more than $250 million so far, funding over 1,000 research projects and providing programs to families affected by childhood cancer. Description

The Event Planner role is critical to the Foundation’s efforts to engage with supporters through a range of unique tasks. Serving as a member of the Special Events Team, the Event Planner will assist with adding value to an extraordinary range of Special Events, from food events in Philly and LA to athletic events that attract participants from all over the country. To ensure the success of related fundraising goals associated with these events, the Event Planner will focus on auction-based experiences. Additionally, the Event Planner will work with the Foundation’s Grants Team in planning and executing summits and events related to programmatic supporters. This position reports directly to the ALSF Special Events Manager and will coordinate closely with the Grants team.

ALSF is headquartered outside of Philadelphia in Bala Cynwyd, PA. This is a full-time position with a minimum of 3 days in the office.

Responsibilities

  • Lead the planning and execution of multi-day researcher events including Young Investigator Summit, Crazy 8 Summit, Center of Excellence Summit, as well as potential future events. Work closely with the Grants Team to ensure goals of each event are achieved, the event runs smoothly, and the summit attendees have an amazing experience. Present event venue options, manage venue and all vendor contracts through and after the event, including AV providers, off-site activities venues, and travel agent
    • Create timeline and meet due dates, manage budget and billing
    • Coordinate attendee registration and communication; reply to emails and calls promptly
    • Think creatively when planning the off-site activity to ensure everyone is engaged and having some fun, also when presenting idea for giveaways to the Team
    • While Grants Team crafts the agenda, this role is responsible for ensuring the smooth transitions between sessions and that the venue can accommodate the needs of the program
    • Coordinate with other ALSF departments who may have concurrent events.
  • Brainstorm and coordinate new and unique auction experiences, particularly live auction items
  • Work with high value special event donors to plan their live auction items Assist with live auction wrap-up and payment
    • Coordinate necessary logistics for live auction items by communicating with guests and third parties
    • Attend and manage Auction logistics on the day live auction events are held
  • Contribute and collaborate ideas related to Special Events
    • Assist Special Events with other supportive activities such as:
    • Assist in marketing events in traditional and creative ways
    • Manage supplemental projects across multiple events
    • Increase number of attendees and funds raised at events by brainstorming with other team members
    • Assist with all pre-event set-up and logistics
    • Attend events in-person
    • Assist with all post-event breakdown and logistics
    • Involve all areas of the Foundation in events by working with staff members on other teams
  • Other projects as assigned
