All Native Group is Hiring a Scheduling Coordinator Near Colorado, CO

Summary

All Native Group (ANG) is looking to fill the role of Scheduling Coordinator in our corporate office in Colorado Springs, CO. The Scheduling Coordinator will assist the Executive Assistant in coordinating all subordinate offices administrative and scheduling activities, maintaining task and project activity, performing logistics planning for meetings, conferences, and training sessions, and carrying out other duties as assigned. The Scheduling Coordinator will arrange appointments, book venues for scheduled meetings, and make travel arrangements. They will keep all stakeholders informed of project timeliness and deadlines. They will be a positive and self-motivated individual with a strong work ethic, including reliability, punctuality, honesty, and confidentiality.

Essential Functions

  • Supports the CEO team by managing the CEO’s daily schedule.
  • Prepares the CEO’s expense reports.
  • Researches and compares available travel and hotel accommodations to identify the best available option for each travel need.
  • Make all arrangements and reservations as requested.
  • Proactively coordinates with the Executive Assistant to the CEO of ANG on managing projects, conducting research, and assisting with operating more efficiently and effectively.
  • Prepares reports, memos, letters, financial statements, and other documents using word processing, spreadsheet, database and/or presentation software.
  • Provides support in the preparation of presentations/briefings/point papers and correspondence.
  • Research business processes and programs, prepares papers, and makes recommendations for consideration/presentation to Executives and committees.
  • Formats, reviews, and updates any recurring reports such as monthly, quarterly, cumulative semi-annual, and cumulative annual reports.
  • Executes special projects as requested to include event planning and strategic initiatives.
  • Supports the ANG Executive Team in areas of Quality Assurance as required on ISO and CMMI implementation and continued improvement.
  • Supports the CEO team during meetings, recording and preparing official meeting minutes.
  • Performs a variety of administrative duties, including filing, scheduling appointments, transcribing notes, composing correspondence as directed, and creating presentations.
  • Assists with various facility support activities which may include front desk coverage, mailing/shipping, and employee engagement event support.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Must be able to remain in a stationary position 75% of the time.
  • Occasionally moves about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Expresses or exchanges ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
  • Frequently moves standard office equipment up to 25 pounds.
  • Must be able to work indoors 90% of the time.

While performing the duties of this job, the employee is regularly required to talk or listen. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

Position Type/Expected Hours of Work

This is a full-time position. Typical days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Evening and weekend hours may be required as needed.

Travel

Occasional travel is expected for this position.

Experience

  • 2-4 years of relevant administrative assistant experience.
  • Previous experience with scheduling preferred.
  • Previous training and experience with Concur or similar travel software highly preferred.
  • Computer skills including Microsoft Office Programs (Outlook, SharePoint, Word, Excel, PowerPoint)

Education 

High School diploma or equivalent. Associates or Technical degree preferred.

Additional Eligibility Qualifications

  • This position may require driving the company vehicle or personal vehicle on behalf of the company; therefore, the incumbent is required to possess and maintain a valid driver’s license.

  • Up to date with advancements in office gadgets and applications 
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills

Security Clearance

No clearance is required for this role.

Compensation and Benefits:

The expected compensation range for this position is $41,000.00- $45,000.00 per year (annualized hourly rate of pay). We offer comprehensive benefits that allow you to balance work and life.
