Basic Statement of Responsibilities

Serves as the administrative assistant and support staff liaison for the WEX coordinator, WEX In-take Specialist and WEX instructional team.

Essential Functions

  • Maintains accurate files for the Work Experience (WEX) Program such as filing timesheets, corresponding documents into participants’ individual files, provide mailing updates to registration office.
  • Track Supplemental Nutrition Assistance Program hours for Maryland Higher Education Commission records and be the liaison to coordinate continuing education certification opportunities.
  • Assists the Work Experience Program Coordinator and program staff in program development and coordination such as assembling classroom materials, organizing folders and sign-in sheets for new weekly referrals.
  • Assist with facilitating the ACT Workkeys program for classroom instruction.
  • Assist with classroom instruction either face to face or virtually for various presentation topics as needed.
  • Assists with performing daily housekeeping classroom responsibilities such as submitting daily reports, transcribing incident report, assist orientation process, correspondence with caseworkers, tallying timesheet hours, recording daily agenda on board and wiping down tables.
  • Assist with conducting individual intake meetings or individual appointments at the Department of Social Services building if needed.
  • Assist with and understand how a worksite placement occurs and the corresponding paperwork as needed. Track and input data for worksite placements.
  • Organizes and monitors daily and monthly sign-in sheets.
  • Transcribe evaluation summaries for Maryland Higher Education Commission.
  • Submit transportation requests as needed.
  • Email weekly updates to participants and appropriate partners.
  • Manages program administrative and instructional supplies.
  • Assists Coordinator with special projects as needed.
  • Attends monthly departmental program review meetings.
  • Organizes outreach and correspondence for program partnerships and donors.
  • Maintains professional relationships when contacting local organizations and businesses.

Education, Experience, and Specialized Skills

Associate Degree, with at least 1 year of experience working in an office environment OR minimum five years’ experience in an administrative associate role working in an office environment type setting.

Knowledge, Skills, and Abilities

Understanding of general office procedures, personal computer operating systems (Windows) applications Microsoft Office 365, and college used software, office machines, filing, business etiquette, and human relations skills.
Knowledgeable of work skills and etiquette for work professionalism and classroom subject matter.
Ability to work independently, as an intuitive self-starter, in a group setting, and troubleshooting ability.
Ability to implement conflict resolution and to work with a wide diversity of customers. Ability to be flexible and work in an occasionally fast paced, stress-filled environment.
Math Skill Needed: Adding, subtracting, dividing and multiplying fractions and decimals. Converting fractions to decimals and calculating percentages.
