For more than 25 years, ACPM Operations, LLC dba Alliance Commercial Property Management Company, Inc. (ACPM), has provided turnkey third-party property management services for a diverse portfolio of office, industrial, retail, and multi-family properties located across North Carolina, South Carolina, Tennessee, southern Virginia, and eastern Georgia. We perform property management, full- service accounting, lease administration, and construction management services for our clients. We currently manage approximately 3.5 million square feet of commercial property and we are growing! OPPORTUNITY

ACPM is looking for a detail-oriented property management assistant who will organize and coordinate office administration and procedures. This position works alongside the President, EVP, Controller, and the South Carolina Property Managers (“PM”) within the Company.

The ideal candidate is a detail-oriented, energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little to no supervision. Well organized, flexible, and enjoy the administrative challenges of supporting an office of diverse people.

RESPONSIBILITIES

The activities listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this position. The successful candidate will be able to demonstrate core competencies in the following areas:

  • Answer main line phone calls and deliver excellent service to clients and customers.
  • Work closely with the President and EVP to keep them well informed of upcoming commitments and responsibilities.
  • Act as a point of contact between the executive team, clients, and external partners.
  • Assist Property Manager with tenant compliance in regard to provisions of the lease.
  • Work with property management to ensure certificates of insurance and HVAC agreements are current, commencement exhibits are executed, and security deposit information is correctly entered in MRI.
  • Distribute monthly financial reports to external investors/owners.
  • Create and prepare tenant related letters and correspondence. (late letters, rent increase notices, etc.)
  • Assist with data entry in MRI and Avid Xchange.
  • Maintain soft copy files for all floor plans, BOMA calculations and tenant as-builts as requested.
  • Participate in the due diligence process as it relates to lease documents both for acquisitions and dispositions.
  • Work with accounting and property management to audit operating expense billing both estimated prepayments and reconciliation to ensure accuracy.
  • Maintain hard copy and electronic Master Lease files.
  • All other duties as assigned and associated with the day-to-day operation of a commercial real estate portfolio.
  • Assist with Tenant Accounts Receivable.
  • Assist with Vendor and Maintenance Calls and Scheduling.

REQUIREMENTS/QUALIFICATIONS

  • Minimum 2 years commercial property management, non-multi-family experience
  • High School Diploma required; Bachelor’s degree preferred
  • Experience reading and interpreting real estate leases, including all related lease documents, is essential
  • Experience with MRI and Avid Xchange software programs preferred
  • Detail oriented, analytical and computer literate with proficiency in Word, Excel, PowerPoint and Outlook
  • Organized with ability to multi-task while keeping track of priorities and maintaining big- picture focus
  • A proven record of providing excellent internal and external customer service
  • Superior communications skills, both verbal and written
