SUMMARYResponsible for providing customer service and administrative support to assist the entire office operations, including but not limited to: Administration, Claims, Executive, and Insurance Departments. ESSENTIAL DUTIES AND RESPONSIBILITIESResponsible for all front-office duties including processing and distribution of mail.Maintains Outlook Team Calendar, Certificate In Box, and office folders on Shared Drive.Answers incoming calls to main office number and routes callers as needed.Assists service team with assembly of marketing materials, proposals, and presentations for prospects and clients.Orders and prepares loss runs and motor vehicle reports as directed.Responsible for client insurance certificate (execute, print, stamp, mail) requests.Actively communicates with lenders and mortgage facilities to assist with client needs.Acts as the liaison between processing team and certificate in-box to meet processing deadlines required by vertical. Delivers policy documents (policies, endorsements, summaries of insurance, and certificates) when requested by client or by executive team. Assists Claims Advocate as needed for the filing of new claims and follow up on existing claims.Provides office support in the absence of office management staff, and provides additional support to executive leadership. Assists in preparing slides for recurring internal team meetings.Assists with logistics of all meetings including providing support to host as needed, checking conference room lighting, confirming conference room equipment is functioning, welcoming guests, and offering beverages and seating.Actively participates and supports committees related to employee engagement, D&I, and philanthropy.Provides word processing assistance as required.Complies with agency management system data standards and data integrity (enters and maintains complete and accurate information).Other duties as assigned.QUALIFICATIONSEDUCATION / EXPERIENCEHigh school diploma or equivalent combination of education and experienceRelated work experience preferred SKILLSProficient in Microsoft Office SuiteGood verbal and written communication skillsGood customer service skills, including telephone and listening skillsGood problem solving and time management skillsIntermediate typing skills (30-35 wpm)Ability to work within a team and to foster teamwork #LI-RF1
