Alpha Facility Services is Hiring a Receptionist/Administrative Assistant Near Palm, FL

Job Summary:

We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Administrative Assistant. In this role, you will be responsible for providing administrative support, managing calendars, coordinating projects, and ensuring smooth facility operations. The ideal candidate will have excellent communication skills and the ability to multitask in a fast-paced environment.

Duties:

- Greet and welcome visitors in a professional and friendly manner

- Answer phone calls, take messages, and direct calls to appropriate individuals

- Manage calendars and schedule appointments

- Coordinate meetings and events, including making arrangements for catering and room setup

- Assist with project coordination, including tracking deadlines and deliverables

- Perform general administrative tasks such as filing, photocopying, and scanning documents

- Handle incoming and outgoing mail and packages

- Maintain office supplies inventory and place orders when necessary

- Assist with basic bookkeeping tasks using QuickBooks software

- Provide customer support by addressing inquiries and resolving issues in a timely manner

Qualifications:

- High school diploma or equivalent required; additional education or certification is a plus

- Previous experience as a receptionist or administrative assistant preferred

- Proficient in computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint) and email communication

- Strong organizational skills with the ability to prioritize tasks effectively

- Excellent written and verbal communication skills

- Attention to detail and accuracy in all work tasks

- Ability to maintain confidentiality of sensitive information

Note: Experience as a receptionist for a multi-tenant or high-occupancy building is highly desirable.
