Position Overview:
We seek a highly organized and detail-oriented Office Assistant to join our construction office team. The ideal candidate will have a solid background in office administration and accounting, with a strong focus on accuracy and efficiency. As an Office Assistant, you will play a crucial role in supporting our construction projects by providing administrative, clerical, and accounting assistance.
 
Key Responsibilities:
- Accounting Support: Perform various accounting tasks including accounts payable, accounts receivable, invoicing, expense tracking, and reconciliations. Ensure accurate and timely processing of financial transactions.
- Data Entry: Input and manage project-related data, financial records, and other information into relevant databases and software systems. Maintain accurate and up-to-date records.
- Document Management: Organize and maintain physical and electronic documents, contracts, permits, and other construction-related paperwork. Assist in creating, updating, and archiving documents as necessary.
- Communication: Ensure clear and effective communication between construction teams, vendors, and clients. Answer phone calls, respond to emails, and relay messages promptly.
- Scheduling: Assist in coordinating meetings, appointments, and project-related schedules. Help in managing calendars for project managers and other team members.
- Office Operations: Manage office supplies, equipment, and inventory. Ensure a clean and organized office environment. Assist in maintaining office protocols and procedures.
- Report Generation: Prepare and generate regular and ad-hoc reports related to project finances, expenses, and progress. Compile data and present findings in a clear and concise manner.
- Problem Solving: Collaborate with the team to identify and resolve administrative and accounting issues. Propose solutions to streamline processes and improve overall efficiency.
- Assist Project Managers: Provide administrative support to project managers as needed and assist in project coordination.
- Financial Compliance: Ensure adherence to financial regulations, company policies, and industry standards. Assist in preparing documents for audits and reviews.
 
Qualifications:
- High school diploma or equivalent; associate or bachelor's degree in accounting, finance, business administration, or related field is a plus.
- Proven experience (2 years) in office administration and accounting, preferably in a construction or related industry.
- Proficiency in accounting software, Microsoft Office Suite (Excel, Word, Outlook), and other relevant tools.
- Strong numerical aptitude with exceptional attention to detail and accuracy.
- Excellent organizational and multitasking skills; ability to manage priorities in a fast-paced environment.
- Effective communication skills, both written and verbal.
- Problem-solving mindset with the ability to work independently and collaboratively.
- Familiarity with construction terminology and processes is advantageous.
- Previous experience with document management systems and scheduling tools is a plus.
- Professionalism, reliability, and a strong work ethic.
