Title: Manager of Executive Administration and Trusteeship

Department: Director and CEO’s Office

Reports to: Jason T. Busch, Becky and Bob Alexander Director & CEO 

Overview

The American Folk Art Museum is seeking a multi-faceted individual to serve primarily as partner and executive assistant to the Director & CEO. This individual must be comfortable handling multiple duties at one time, be adaptable to changing priorities, and meet challenging deadlines. The position prepares and processes confidential information on all aspects of Staff compensation, labor relations, and human resources matters for review, discussion, and distribution, which requires discretion, sensitivity, tact, and judgment. Being proactive, intuitive, and a self-starter are key characteristics of the successful candidate. The position provides daily counsel to the Director & CEO on matters of strategic, tactical, and operational importance, keeps him apprised of emerging issues, offers high-level analyses on a broad range of issues, and resolves or makes recommendations for resolution together with overall project management for the Director & CEO’s office.

As Manager of Executive Administration, the position facilitates verbal and written communication, scheduling, reporting (including expenses), and other administrative tasks on behalf of the Director & CEO. Additionally, the role serves as the Museum's primary coordinator for meetings and communication involving the Director & CEO, and keeper of the Museum’s calendar.

As Manager of Trusteeship, the position also acts as a liaison to the Board of Trustees. The role is responsible for coordinating all aspects of communication with the Board of Trustees and Board Committees including scheduling meetings, providing documents, minute taking, and ensuring compliance with our operating procedures and forms.

Qualifications/Required Skills

  • Education and/or experience equivalent to graduation from an accredited four-year college or university. 
  • Several years’ experience supporting senior level executives and/or Boards of Trustees, especially in an arts, cultural, or corporate setting.
  • Excellent organizational and administrative skills and proficiency in the use of Microsoft Office suite and Google Suite.
  • Interpersonal savvy, diplomacy and confidence; at ease with verbal and written communication and interacting graciously and effectively with the Director & CEO, the Board of Trustees, patrons, Staff, and the public. 
  • Strong problem-solving and conflict resolution skills to manage complex tasks and those that require balancing competing interests.
  • Emotional intelligence, demonstrated flexibility and confidentiality, excellent judgment, strong analytical skills.
  • Superior project management skills with meticulous organizational planning and ability to manage multiple priorities and deadlines simultaneously.
  • Self-directed and strategic thinker, with get-it-done attitude and following up doggedly to ensure results.
  • Comfortable with varying degrees of ambiguity and handling risk and uncertainty with broad guidance in a fast-paced environment.
  • Discrete, direct, and clear communicator.

The anticipated salary is $65,000-75,000, and final compensation is based on alignment with required qualifications and relevant experience; together with benefits including a generous PTO allowance, fully paid employee medical coverage, and employer 403b contributions.

The American Folk Art Museum is located at 2 Lincoln Square in midtown Manhattan. The administrative office for the museum is in Long Island City, Queens. The position requires in-person attendance several days per week at our office in Queens.
