The Meetings / Program Manager is responsible for planning, organizing, and managing all aspects of meeting planning logistics for all of the Meetings (both educational and off-site committee meetings). Responsibilities include:

· Perform hotel contract negotiations, marketing, management, and implementation of logistics following budget guidelines.

· Communicate with speakers/presenters for live education programs

· Coordinate speaker/presenters needs

· Ensure compliance with the Accreditation Council for Continuing Medical Education (ACCME)

· Provide program participants with CME/CE certificates

· Provide logistic support for the Meeting

· Provide administrative support for education committees

· Develop printed materials for the education programs

· Perform other functions as required.

The Meetings Manager acts as a liaison with vendors, hotels, convention bureaus, and members/instructors; and assists in managing the annual conference including selling exhibits and sponsorships. Full accountability for coordinating the educational programs.

Qualifications

• 5 years experience in meeting planning; pre-event strategies, planning, and event execution; sourcing, logistics, and operations.
• Association meeting planning experience and bachelor’s degree preferred.
• Comprehensive knowledge of meeting industry standards and best practices.
• Knowledge of Microsoft Office Products, association databases, and conference management software.
• Ability to travel frequently and work a flexible schedule based on event schedules.
• Acute attention to detail and excellent follow-through capabilities.
• Excellent verbal and written communication skills including accuracy in data entry, correspondence and proofreading skills.
• Exceptional customer service skills and able to maintain a friendly and positive attitude, particularly when interacting with conference attendees and organization’s members. Able to multi-task and coordinate multiple projects at a time.
• Must be a doer, able to work well under pressure in a fast-paced small staff environment with demanding deadline schedules.
• The person should have the ability to carry out responsibilities independently with a minimum of supervision.
• The position is classified as a hybrid--requires three days in the office each week. Expect to travel 2 – 3 times per year.
