Summary

Our company’s success stems from our people and processes; the administrative assistant is a supportive force behind both. We seek someone exceptional to take the lead in supporting the VP of Quality and Clinical Services and the Chief People Officer. The ideal candidate is a problem solver with excellent communication skills and impeccable attention to detail. Facets of the role warrant experience working in an office environment, performing administrative tasks, and supporting coworkers. Multitasking, managing complex schedules, and meeting changing deadlines are essential, as is exercising professional judgment and confidentiality

Essential Duties and Responsibilities

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and organize meetings, conferences, and special events, including room setup and catering.
  • Provide administrative support to ensure efficient department operations.
  • Assists with executives' expense reporting and submission for approval.
  • Prepare and distribute correspondence, reports, and presentations on behalf of executives.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail.
  • Liaise with internal and external stakeholders, including clients, vendors, and team members.
  • Perform general administrative tasks, such as filing, scanning, and photocopying.
  • Modify form letters to fit varying
  • Work independently or within a designated team on special nonrecurring and ongoing projects as
  • Create and design spreadsheets, PowerPoint presentations, mail-merge template functions for Word and Outlook, and Adobe Pro.
  • Draft and edit letters, reports, and other documents.
  • Conduct research as requested and compile and summarize information for reports or presentations.
  • Work closely with other administrative staff and support other colleagues as needed.
  • Work with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Ensure that deadlines are met and adapt to changing priorities.
  • Present a positive and professional image for the organization.
  • Abide by the company’s code of conduct, ethics statements, employee handbook(s), policies and procedures, and other corporate mandates, including participation in mandatory training programs and report any actual or suspected violation of the corporate compliance program, company policies, and procedures, harassment, or other prohibited activities per the reporting policies of the

Qualifications

To perform this job successfully, an individual must be able to perform each essential responsibility satisfactorily. The requirements listed below represent the knowledge, skills, and abilities required.

  • Proven experience as an executive administrative assistant or in a similar role.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite, Adobe Pro, and other relevant software.
  • Ability to prioritize tasks and work efficiently under pressure.
  • Excellent written and verbal communication skills.
  • Discretion and ability to handle confidential information appropriately.
  • Professional demeanor and ability to interact with all levels of an organization

Education/Experience

Associate degree and five or more years of related experience, or bachelor’s degree and two or more years of related experience, or equivalent combination of education and experience.

Paid Time Off:
