Job DescriptionJob Overview of HR Assistant/Receptionist:HR Assistant/Receptionist will support the Human Resource Department by performing a wide range of administrative and professional duties including front desk receptionist duties, greeting visitors, answering incoming calls, sorting incoming mail, stamping outgoing mail, posting invoices to the PO system, processing FedEx billing, ordering supplies, assist with gathering equipment from terminated staff and other projects as assigned. Essential Functions of HR Assistant/Receptionist:
Excellent customer service skills including the ability to manage agitated family members and children.
Ability to work independently in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Outstanding organizational and follow-through skills. Strict attention to detail is essential.
Manages all documentation and ensures completion in a clear, accurate, and in a timely fashion.
Maintains a clear & well-organized filing system, ensuring all files are maintained, organized, and completed.
Perform Receptionist duties including sorting incoming mail and preparing outgoing mail for processing, greeting visitors, answering, and directing calls. Making sure the reception area is clean and orderly.
Ordering supplies for the kitchen in Dyckman Hall.
Processing FedEx requests and making sure all bills are processed and allocated correctly.
Processing invoices in the Ariett P. O. system.
Process floral arrangement requests from departments.
Order supplies for the HR department.
Updating the Agency Organizational Charts and Phone Directory.
Other duties as assigned.
Supports overall strategic plan of the organization.
Ability to adhere to our organization’s core values and commitments.
Schedule of HR Assistant/Receptionist: 9:00 AM – 5:00 PM Monday - Friday 35 hours per week This position will accrue 4weeks of vacation. Must be flexible to work 8AM – 4PM shift on occasion. Entry Level Qualifications of HR Assistant/Receptionist:
Associate’s degree with 2 years of related experience or a High School Diploma with 4 years of related experience
Some experience as an HR Assistant including some receptionist experience.
Possess strong verbal, writing and computer skills.
Ability to analyze problems and develop a successful outcome.
A demonstrated ability to work collaboratively with all levels of staff.
Proficient in MSWord
