Job DescriptionThis position is responsible for the general clerical and technical functions of the Safety Office providing support to the Safety Supervisor. This position will function independently at times and works as part of the team of professionals involved in the hiring and training process. The person holding this position will support the strategic direction of the organization, demonstrating adherence to the Company’s core values in the performance job duties and responsibilities to ensure that Company and department goals are achieved.
Essential Functions:
  • Assist Safety Supervisor with data collection, record keeping/filing, and processing of information needed for accurate safety department records.
  • Effectively and consistently participate as member of team to support the safety supervisor, driver recruiter, driver trainer, operations dept. and human resources dept. with intake processes for driver applications, previous employer verifications, and other activities to assure documents, information recording & other processes comply with DOT/FMCSA regulations and company policies;
  • Review applications and ancillary documents for Class A driver applicants; assist in interviews, and hiring process for drivers-complying with Company hire criteria under the direction of the Safety supervisor and driver supervisor as needed.
  • Review records of current Class ‘A’ employees and update random pull list, expiration lists, and enter information in company files, both computerized and paper.
  • Answer incoming calls, responding to inquiries as appropriate, take complete and accurate messages, and route calls appropriately.
  • Effectively and professionally communicate with partners, drivers and other departments in English, verbally and in writing; (communicate verbally and in writing using Spanish language skills, if able.)
  • Create new files as needed, organize, update and maintain filing system within department as directed by the Safety Supervisor, including, but not limited to: a) review & assembling Driver Qualification files per policy; b) Maintain & Monitor Accident & Injury files.
  • Communicate with operations department and satellite terminals as necessary on completion of D.Q. files and documentation for accident/injury reports for Company drivers and as needed for sub-hauler records.
  • Review applicants for Class ‘A’ drivers, interview, test drive and hire drivers based on company hire criteria by direction of the Safety Supervisor and independently when needed.
  • Reconcile Drug & Alcohol Invoices, keeping safety supervisor informed of any issues.
  • Accurately prepare periodic reports, as required, in complete and timely manner.
  • Assist operations department with driver log auditing as needed.
  • Assist Safety Supervisor and Driver trainer with all safety functions as needed, including but not limited to: a) assisting as appropriate in over the road tests and driver training, as appropriate (Class A driver only); b) checking in employees; c) making presentations at safety meeting; d) conduct “tailgate” meetings as directed; perform or assist with orientation and safety training for new drivers and others as needed.
  • Be available as needed to perform “ride alongs” with drivers to observe driver habits and adherence to safety policies/regulations/ driving laws, to report those observations, and to assist in analysis and recommendation for safety and future driver training.
  • Adhere to company policies, procedures and safety regulations. Use all safety equipment necessary. Report timely any unsafe acts or conditions.
  • Maintain regular and consistent attendance as scheduled.

  • Be self-motivated and detail oriented.
Education:
  • High school diploma , GED or trade school equivalent, some college preferred
  • Demonstrated ability to read and understand materials commonly used in the safety job function.
  • Demonstrate strong written and verbal communications skills using English, good grammar and spelling; Bilingual, Spanish, proficiency preferred.
  • Working knowledge of DOT/FMCSA regulations, preferred but not required
  • Demonstrate proficiency in basic math skills as needed to perform job duties.
Technical Training:
  • Be computer literate with experience in Microsoft Office programs including Word, Excel, Access and able to learn and effectively use Company authorized software.
  • Basic knowledge of standard office practices, procedures and equipment
  • Possess and maintain valid Class A California drivers’ license with acceptable record (consistent with Driver Hire and Retention Guidelines); Valid Class C driver’s license acceptable only if there is sufficient number other staff trained and available within the dept. to perform needed drive tests, “ride alongs” and to relieve drivers to meet compliance needs.
Experience:
  • Class A driving experience and/or work within the transportation industry.
  • Performance of duties in an office setting, using computers, Microsoft computer programs or industry specific software
