Office Clerk/ Administrative Clerk

Location: Waynesboro, TN

Shift: Days (8:00 AM - 4:30 PM) M-F

Job Summary:
We are seeking a detail-oriented Office Administrator with a diverse skill set encompassing administrative tasks, project coordination, and excellent computer literacy.

Responsibilities:

  • Administrative Support: Provide general administrative support such as answering phones, taking messages, handling correspondence (emails, letters, packages), and managing office communications.
  • Data Entry and Record Keeping: Input, update, and maintain databases, records, and files—both electronic and paper—ensuring accuracy and confidentiality.
  • Scheduling and Coordination: Assist in scheduling appointments, meetings, and travel arrangements for staff and management. Coordinate logistics, including room bookings and equipment setup.
  • Customer Service: Greet visitors, handle inquiries, and direct them to appropriate contacts or resources. Maintain a professional and welcoming reception area.
  • Document Preparation: Draft, format, and proofread documents such as reports, memos, presentations, and spreadsheets. Distribute documents as needed.
  • Financial and Bookkeeping Tasks: Process invoices, expense reports, and reimbursements. Monitor office expenditures and manage petty cash.
  • Office Equipment and Supplies: Monitor and maintain office equipment, including printers, copiers, and fax machines. Order and stock office supplies as needed.
  • Filing and Organization: Organize and maintain files, records, and documents systematically for easy retrieval and archiving. Ensure compliance with record management policies.
  • Support for Meetings and Events: Assist in preparing meeting agendas, materials, and minutes. Arrange catering, setup rooms, and provide logistical support for events as required.
  • Communication Liaison: Act as a point of contact between departments, clients, and external partners. Relay messages and ensure timely communication flow.
  • Compliance and Policy Adherence: Assist in ensuring office policies, procedures, and regulations are followed. Maintain confidentiality and handle sensitive information appropriately.
  • Problem Solving and Initiative: Identify inefficiencies and suggest improvements in administrative processes. Take initiative to undertake tasks beyond regular responsibilities to support team goals.
  • Requirements:

Education: Graduation from an accredited college or university with a bachelor's degree.

  • Minimum 5 years of experience required
  • Must have knowledge of Data Entry, Emailing, Faxing, Internet, Microsoft Excel,

Printing and Copying.

  • Must have Excellent Written and Verbal Communication

Job Type: Contract

Pay: $14.00 per hour

Expected hours: 40 per week

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday
  • Morning shift
