Arabella Advisors is Hiring a Capacity Associate Near Chicago, IL

Capacity Associate, Partner Solutions (Hybrid in Durham, NC; Chicago, IL; or Washington, DC)
The Capacity Associate, a member of Operational Excellence within Partner Solutions, supports the capacity team to ensure day-to-day operations and data management within the capacity team are functioning with client service standards in mind.
The position reports to the Associate Director within Operational Excellence, supporting in maintaining various capacity tools and data within the CRM (Salesforce) and PSA (Certinia) platforms. This position is responsible for independent execution of administration and operational tasks and works directly with multiple internal teams.
Essential Responsibilities
Under the guidance of the Capacity Manager:
  • Own operational functions of capacity daily management including:
    • Resource Request creation and upkeep within Salesforce and Certinia
    • Capacity Timecode creation and upkeep within Salesforce and Certinia
    • Capacity case system and inbox triage to ensure task completion within client service standards, identifying trigger points for escalation to senior team members
    • Timesheet inbox triage and response, acting as the point person for Partner Solutions Account Team questions and requests related to timecode assignments
    • Ad-hoc data export requests from various Parter Success Account Team stakeholders
  • Own operational functions of capacity systems and data maintenance including:
    • Partner Solutions Organization Chart Updates in partnership with department leadership
    • Salesforce CRM data accuracy related to capacity metrics
    • Recurring systems maintenance and audits
  • Support in the execution of stakeholder relationships through:
    • Participate in various cross-team stakeholder calls to capture comprehensive notes and gain deeper insights into overarching team initiatives
    • Ad-hoc reporting for senior leadership
    • Analyze current capacity metrics and staffing needs using existing tools to make informed recommendations related to temporary coverage assignments
  • Partner with department leadership to support communications on behalf of the Capacity team, under the guidance of the Capacity Associate Director.
Technology Implementation
  • Support the Capacity Manager to troubleshoot and triage reported capacity management tool issues and work with business technology to facilitate resolution of issues.
  • Consult with the Capacity Manager for complex reporting often supporting with larger data pulls and uploads
  • Upload and maintain project pricing tool data within Certinia using monthly queries provided by the Pricing and Profitability team.
Other Responsibilities
  • Support the implementation of department and organizational policies and procedures as they are introduced
  • Routinely apprise and align with internal stakeholders on the status of tasks; sharing processes and other relevant project data to senior team members, as needed
  • Contribute to the development of more efficient processes, systems, and technology as assigned
  • Contribute to the achievement of team initiatives and internal projects as assigned
  • Maintain a thorough understanding of PSA and Certinia reporting features
To Be Successful in This Role, You’ll Need
  • 2-4 years of relevant professional experience
  • High attention to detail and process oriented

Working with Us
While this position must be based in Durham, NC; Chicago, IL; or Washington, DC, please note that all Arabella Advisors’ offices have reopened, and we work in a hybrid environment.
We reopened our offices in Summer of 2022 and work with a hybrid workplace strategy to ensure continued flexibility for our staff, while deepening our strong culture rooted in collaboration and in-person interactions between colleagues. We expect that after their initial onboarding, all Arabellans will have the choice of two hybrid schedules. Our hybrid schedule options include Flex, with 1-2 days per week in the office, or Office-based, with 3 days per week in the office (or more if preferred) and the remaining days working at home/remotely. Total Rewards (Compensation and Benefits)
This is a full-time position. We offer a competitive and holistic total rewards package that includes salary, bonus, and benefits. Our compensation ranges are based on salary ranges for similar sized organizations in the professional services sector and adjusted for local labor market rates and differentiated by geography.
Annual Pay Ranges for This Position -
Durham: $52,000 - $58,000
Chicago: $55,000 - $60,000
DC: $57,000 - $64,000
All full-time staff are eligible for our generous benefits package on their first day of employment:
