Description

Job Title: Business Manager

Location: St. Scholastica Catholic Church, Erie, Colorado

Reports To: Pastor

Position Type: Full-time/ Exempt

Salary Range: $70,000- $80,000

Anticipated Start Date: 8/26/24

Overview

St. Scholastica Catholic church is seeking to fill the role of Business Manager for the parish. This faithful Catholic individual will be a self-directed fast learner with a variety of business operation skills. S/he will be a leader in our parish staff as we lovingly serve our parishioners.

Key Performance Indicators (KPI’s)

Offeratory

  • Maintain and evaluate collection and count procedures to make sure comply with Archdiocese standards.
  • Occasional checks on offertory count teams.
  • Contacting counters as needed.
  • Acquiring any necessary tools for collection
  • Scheduling counters
  • Recruiting and training new counter as needed
  • Enter deposits into accounting software
  • Confirm deposits on accounting software, collection documentation, and software systems match.

Contribution Statements

  • Review software systems for accuracy and send out monthly statements to any one-time amount given of $250 or greater
  • Review and send out year-end contribution letters to all givers
  • Answer questions/corrections on year-end contribution letters

Vendors

  • Collect and file from any vendors that may need a 1099 a w-9, insurance information and hold harmless agreements as needed
  • At year-end review and file all 1099/1096 including any corrections necessary
  • Maintain vendor files

Data Entry

  • Enter bills on a weekly basis and create and send checks
  • Create any necessary documentation for back ups
  • Run any reports requested by Father
  • File and maintain accounts payable files in coordination with Parish Staff
  • Create and send any reports for the Archdiocese as needed

Finance Council

  • Attend meetings and give stats report of finances
  • Run reports necessary for meetings/update binders
  • Present and address budget issues and provide all yearend reports
  • Create meeting agendas, take minutes for meetings

Bank Statements

  • Reconcile accounts each month on accounting system and give to Father for his approval. Maintain files.

Budget

  • With Father, Finance Council, staff, and volunteer staff, create yearly budget for approval by finance Council in May.
  • Report budget to Archdiocese and enter into accounting software
  • Keep projects appraised of their budgets in a timely fashion

Payroll

  • Check reports
  • Review timesheets with Father and verify accuracy of payroll system
  • Make necessary entries into accounting software
  • Handle all employee discrepancies with the system
  • Review HRIS or other apps for accuracy and reporting requirements
  • Review payroll report and enter into accounting software
  • Keep appraised of the account balance for payroll and make periodic payments into the account
  • Report for priest pay and lay pension reports quarterly

Mission Advancement and Special Projects

  • Assist Father mission development, advancement and support the mission to all apostolates and ministries
  • Assist Father in preparing information for special projects as needed

Human Resources

  • Maintain Employee files
  • Assist with job descriptions, advertising for new hires and hiring process
  • Process all HR paperwork including any federal reporting
  • Assist Father with yearly reviews- providing needed documentation and answering any legal HR questions

AOD and ConnectNow

  • Attend any necessary Trainings as needed or at the request of Father
  • Work with Archdiocese Auditors as needed

Supervisor

  • Supervise all volunteers that deal with financial aspects of the church including offertory counters and contribution input volunteer
  • Supervise all money income from all apostolates

Supervisor Capital Campaign INCARNATION

  • Work with volunteers in Giving Committee
  • Plan, Organize and Support fund raising efforts
  • Assist Building Committee in all aspects of contracting, warranty, start, stop inspections and all needed requirement of building projects.
  • Attend all meetings as directed by Father and take necessary notes, files and documentation

Qualifications & Benefits


Education/Experience

  • Bachelor’s degree preferred, or a related field or equivalent experience
  • At least 3-5 years of experience in an office leadership role

Competencies/Qualifications

  • Must be a practicing Catholic in good standing eager to carry out the mission of the parish
  • Align with the values and mission of the Catholic Church and possess a willingness to practice human resources from this faithful perspective
  • Excellent interpersonal, communication, and conflict resolution skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Proficiency in Microsoft Office and HRIS systems (Paylocity and ParishSoft preferred).

Physical Requirements

  • Ability to work flexible hours when necessary
  • Ability to stand, walk, and sit for extended periods
  • Manual dexterity and strength to operate equipment and perform tasks
  • Ability to life and carry objects weighing up to 30 pounds
  • Visual acuity to read and interpret written documents
  • Auditory ability to communicate effectively with coworkers and stakeholders
  • Stamina to perform tasks that may require bending, stooping, and reaching
  • Ability to work in various environmental conditions, including indoors and outdoors
  • Mobility to travel to different locations as required.
