Description

MISSION STATEMENT : That all be gathered into the family of God by teaching the truth of the Gospel and relying on the love, forgiveness, and healing of Jesus Christ.

BASIC FUNCTION : The Parish Mission Support Desk is a person of faith committed to the Gospel. He or she serves the Church, exhibits responsible management of resources, and helps the Church fulfill its mission, and upholds the Catholic teachings of the Church.

He or she provides missional direction and hospitality to every soul that connects with the parish.

SPECIFIC DUTIES : Specific duties and responsibilities of the Parish Mission Support Desk include :

  • Responsible for both opening and closing the parish office each work day as well as locking up the campus facility at the end of the day.
  • Responsible for logging and reconciliation of parishioner offertories.
  • Manages parish envelope database with OSV by entering new parishioners, and removes deleted parishioners’ envelopes.
  • Inputs new parishioners into the ParishSoft database and maintains parishioner data should any changes or updates be required.

Communicates any changes to the parish welcoming committee.

  • Assists parishioners with passwords, picture, or general information they wish to input into the parish data base.
  • Manages parish calendar of events in Google calendar.
  • Maintains weekly scheduling of the doors access control system and HVAC scheduling for all activities.
  • Assists the Business Manager in the annual creation, printing, and mailing of annual parishioner donation letters as well as year-end AOD reports.
  • Answers phones in a missional, kind, and professional manner, respecting all confidentiality, and directs calls to the appropriate team members.
  • Returns all overnight messages and either answers or distributes the messages to the appropriate team member.
  • Maintains strict and complete confidentiality of all activities that occur in the parish office.
  • Responsible for getting printed bulletins prepared and in place for all Weekend Masses.
  • Responsible for the maintenance of all church bulletin boards, ensuring all materials on the boards are approved by the Pastor and that date sensitive material is removed in a timely manner.

Maintains information tables in the sanctuary insuring all material present has been approved by the Pastor.

  • Ensures all confidential information produced concerning donations or parishioner information is shredded and disposed of in a secure way.
  • Works alongside the Pastor to maintain the Mass intention log book and Mass and Sanctuary Candle stipends per office policy and the Pastoral Handbook.
  • Works with the Adoration coordinator ensuring coverage and parishioner presence during Adoration hours.
  • Assists the Business Manager with maintaining inventory of supplies for Lenten fish fry, funeral luncheons, and general kitchen and office supplies.
  • Responsible for cleaning out and placing information in the pews.

Qualifications

  • COMMUNICATIONS Works with the Business Manager on computer management and information system needs of the parish. Performs other duties and tasks as may be required by the Business Manager or Pastor.
  • COMPETENCIES AND QUALIFICATIONS Possess a discerning spirit and is open to the movement of the Holy Spirit through a personal prayer life as well as intercessory prayer.

Proficient in Microsoft Office applications and has a technological mind to work with other various software applications.

Knowledgeable of safety and security issues for employees, volunteers and those that come to the parish for information or worship.

Ability to discern and prioritize the urgency of all communications to the Parish Office (phone or in person); ensuring that the responsible Parish staff is notified appropriately.

Knowledgeable of parish policy and guidelines in relationship to Archdiocesan policy and guidelines, including the Pastoral Handbook.

Possesses high positive energy and the ability to work well with many personality types both on staff and throughout the parish and Archdiocese.

Characterized as a person with impeccable integrity, resourceful, cost conscious, responsible and committed to excellence.

Excellent organizational and time management skills.

  • PHYSICAL REQUIREMENTS Visual acuity both near and far, good hearing and listening skills, lifting at least 30 lbs., manual dexterity with good eye / hand coordination, ability to communicate effectively, and to operate equipment such as computers, copiers, printers, telephone, dolly and basic hand tools.
  • EDUCATION Biblical School or Catechetical School certification is required, or similar degree / certification.
