Job PurposeProvide executive-level Legal Assistant support to the General Counsel and Assistant General Counsel and serve as Paralegal for the Office of General Counsel.
Duties and ResponsibilitiesPARALEGAL SERVICES :
Litigation and Legal Matters: Required to docket and monitor service of writs, complaints, subpoenas, and other legal matters. Responsible for drafting correspondence, preparing and reviewing legal documents, memos and reports. Able to create, update and oversee internal legal databases. Manage highly sensitive and confidential communications and information.
Transactional and Contract Matters: Responsible for coordination of contract process, drafting contracts, reviewing corporate, real estate and other documents, and handling court and non-profit filings under the guidance of General/Assistant General Counsel for matters relating to the Archdiocese's Real Estate and Property Services Capital Projects as well as other matters.
Serve as liaison with various Archdiocesan Offices including Office for Property Services, Office for Catholic Education, parishes, and other related entities involved in capital projects. Maintain and update the Archdiocesan customized contract forms and documents.
Legal Expenditure Tracking: Manage legal invoice procedures - Responsible for reviewing, distributing, and tracking monthly outside counsel legal invoices. Handle process with remitting payments. Responsible for tracking legal expenditures and payments. Maintain a general expenditure ledger updated as needed and submitted to in-house counsel and CFO.
LEGAL ASSISTANT SERVICES:
Handle office management-related tasks such as accounts receivable/payable, scheduling meetings, mail, answer/monitor phone calls, proactively assist with email inquiries and open matters. Manage daily running of the office, including secretarial and clerical tasks, legal matter intake and record management and archiving.
Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents, as well as additional duties as assigned.
QualificationsEducation: High School Diploma or GED required; associate's degree in paralegal studies, a paralegal certificate, or a bachelor's degree preferred.
Specialized Knowledge:
Preferably three to five years' of experience providing administrative support to executive staff (preferably in a law firm or in a corporate legal department), as legal assistant, legal secretary, or paralegal.
Strong organizational skills and ability to prioritize and multiple tasks with attention to detail.
Ability to handle confidential information with required confidentiality and discretion.
Excellent verbal and written communication skills and professional demeanor with strong interpersonal skills.
Ability to work independently, manage workloads, and keep deadlines.
Proficiency in Microsoft Word, Excel, PowerPoint, Adobe Acrobat, Outlook, and Video-conferencing platforms.
Preferred understanding of Church structure and governance.
