FLSA Status: Exempt/Salaried
Weekly Schedule: Monday - Friday, 40 Hours per week. Some evening and weekend hours may be required.
Reports To: Pastor
Summary:
Under the Pastor's guidance, this position is responsible for the effective planning, directing and execution of parish management functions: finance, human resources, facilities, communications, technology, office administration, community services partnerships, and others as may be assigned.
Directs and leads parish staff in performing duties that enable and support the Pastor's responsibilities to the parish. Collaborates with the Pastor and other parish advisory groups to facilitate appropriate parish governance. Assures compliance with local, state and federal laws/regulations, and with diocesan rules, regulations and policies. Naturally employs a servant leader approach that positively reflects the mission of the Archdiocese of San Antonio.
Position Responsibilities:
Essential Duties
1. Assists the Pastor in establishing and executing parish goals and objectives, including budget preparation and management, in collaboration with the Pastoral Council, Finance Council & ministry leaders and parish staff.
2. Oversees preparation of financial reports and presents findings to parish finance council (and ministries committee if applicable)
3. Collaborates with the Pastor, Stewardship Council, Finance Council, Pastoral Council, and staff in performing parish governance requirements.
4. Performs all human resources leadership and administration functions including HR policy and procedures, recruitment and employment, organization development, training, coaching, mentoring, employee relations, performance management, compensation, payroll, and benefits.
5. Ensures all communications among pastoral staff, ministries, parishioners, and community organizations reflect Church practices and parish mission appropriately and accurately, including the parish bulletin. Conducts regular and effective staff meetings and monitors accountability of staff for goals achievement.
6. Builds a cohesive and respectful team of the parish staff, providing them with systematic training and development opportunities that enable continuous personal and professional growth.
7. Supervises the accurate and timely preparation of financial transactions including accounts payable, accounts receivable, banking and payroll reconciliations; ensuring each is properly recorded.
8. Takes care of analyzing investment portfolio with external wealth management company.
9. Supervises with Capital Campaigns for the parish and archdiocese.
10. Supervises the management of parish records, electronic and paper. Ensures key processes and policies are documented and followed by employees and others as applicable. Manages the parish calendar, quickly and effectively resolving any conflicts.
11. Oversees the use and maintenance of all parish facilities, buildings, and grounds, by parishioners and non- parishioners.
12. Oversees any new infrastructure project since its conception to its termination.
13. In collaboration with various parish ministries and organizations, directs successful execution of the annual Parish Picnic, Gala and other events as assigned.
14. Other duties as assigned per pastor.
Additional HR Duties
•Ensures job descriptions, reporting relationships and salary structure is accurate, up to date; administers salaries and benefits programs for all parish employees in alignment with Archdiocesan guidelines, plans, and programs.
•In collaboration with the Pastor and Office Manager, develops and implements parish human resources policies and procedures.
•Coordinates and tracks leave (annual, personal, and sick) for all parish employees.
•Advises Pastor regarding pay rates, wage increases, and Cost of Living Allowance increases on a yearly basis.
•Coordinates the recruiting, hiring and termination of parish employees.
•Develops and implements a comprehensive staff training program, including but not limited to disaster preparedness, employee safety, job-specific requirements, Safe Environment, and operational processes.
•Establishes and maintains employee evaluation processes in compliance with Archdiocesan norms.
•Recruits, trains, and supervises parishioners who volunteer for service to the parish office, building and grounds committee, capital campaigns, stewardship, and special projects.
•Must maintain a high level of confidentiality.
Property and Equipment Management
•In cooperation with the parish finance council, develop and administer policies and procedures concerning the use of all Parish properties and facilities.
•Assists Parish Administrator in overseeing facilities management and maintenance of parish grounds.
•Ensures all office equipment including, telephones, computers, and information systems, are in good working order and communicates issues to Parish Administrator and Pastor for maintenance and repair
•All other duties as assigned
Work Environment:
•Works hours Monday through Friday, hours to be determined by the Pastor
•Flexibility to work weekends and other annual events such as the Parish Festival
Requirements
Minimum Qualifications:
Education
•Bachelor's degree in business, Accounting, Finance, or other related discipline required. Field-related experience may be considered in lieu of a degree.
Experience
•Extensive financial and HR experience. Must have experience creating and managing a budget for a large organization.
- Minimum of two (2) years of experience in bookkeeping or accounting.
•Minimum of four (4) years of experience in a progressively responsible business and supervisory role.
- Experience directing and managing administrative functions, to include at a minimum, finance, HR, IT, Facilities and Communications.
- Exposure and experience collaborating with community service organizations is desirable.
Licenses and Credentials
•Compliance with Archdiocesan Safe Environment requirements.
Minimum Knowledge and Skills:
- Proven servant leader with a pastoral approach to leading individuals and teams.
- Proven project management skills.
- Excellent verbal and written communications, human relations, and interpersonal skills.
- Experience in communicating with appropriate sensitivity and courtesy to employees, parishioners and the general public.
- Self-starter: well organized with the ability to perform multiple tasks simultaneously and perform high-quality work with a sense of urgency; proven ability to maintain confidentiality.
•Knowledge of accounting principles and practices.
•Experience with various computer applications, specifically ParishSOFT and Paylocity
•Working knowledge of Microsoft Word, Publisher, Excel, PowerPoint.
•Working knowledge of Google Docs, Sheets, Slides, Meet.
•Effective oral and written communication skills.
•Excellent customer service skills.
•Ability to prioritize and organize work effectively.
•Accurate recordkeeping and efficient filing skills.
•Bilingual (English-Spanish) preferred but not required.
•Knowledge and understanding of the Catholic Church
•Thorough understanding of non-profit accounting, bookkeeping and financial management systems.
•Previous management/supervisor experience required
