Purchasing Coordinator

Position Title: Purchasing Coordinator F&B

Department: Concept & Standards

Reports To: Purchasing Manager

Broad Functions: The Purchasing coordinator will work with the Purchasing Manager, vendors, and cross-functional internal departments. The main task of the Purchasing coordinator is to update the purchasing data base with information provided by suppliers and to support Operations with any product or service request. This role will also interact with internal personnel solving any issues associated with products, logistics, invoicing, and any other needs.

Main Duties and Responsibilities:

  1. Maintain superior level of accuracy while creating and verifying purchase items including proper product costing, description, etc.
  2. Place orders with suppliers as needed. Resolve changes and discrepancies.
  3. Maintain supplier price lists
  4. Review and resolve supplier invoice discrepancies.
  5. Maintain current knowledge of purchasing policies and procedures, quotations, different types of purchase orders, vendor confidentiality, etc.
  6. Communicate professionally and courteously directly with suppliers in relation to order processing as required to resolve issues.
  7. Other duties as assigned by direct Supervisor

Skills and Qualifications:

  1. Associate Degree in business related areas or equivalent career experience
  2. Minimum one year of clerical/invoicing/purchasing experience
  3. One or more years of F&B purchasing experience preferred
  4. Strong Microsoft Office skills including Excel
  5. Personable and ready to offer quality service to staff, vendors and guests
  6. Able to perform multiple tasks and adjust priorities based on workload or direction from management
  7. Superior communication skills (oral, written and listening)

The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

While performing the duties of this job, the employee operates in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role and requires color determination vision (no color blindness) and to sit for extended periods of time in front of the computer.

This position would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Some bending and/or lifting of supplies and mail in/out materials from time to time may be required.
