Position Summary The Client Services Specialist will support our Ares Real Estate Exchange (AREX) team of product specialists. AREX is our real estate exchange solution that allows investors who are selling appreciated investment real estate to defer capital gain taxes by completing a 1031 exchange into a portfolio of properties sourced from one of our REITs. The Client Service Specialist will be responsible for the dissemination and tracking of offering and marketing material to financial advisors and their clients, assisting financial advisors and their clients in the completion of the investor application and consulting on the investment process. The Client Services Specialist will receive all applications, review for completeness and accuracy, and communicate directly with financial advisor teams for corrections and missing items needed. The role will also require the gathering and review of all trust, corporate and partnership documentation for KYC and AML purposes. Once all paperwork is in good order, the data is entered into Salesforce, and the Client Service Specialist sends the information needed by the client to property identify the properties with their qualified intermediary in a timely manner before transferring the file to the AREX Closing Team. This person will share accountability for the efficiency, accuracy and customer satisfaction around the application process and will be expected to enhance our systems used for tracking transactions and communications (internal and external) Essential Job Duties Responsible for the dissemination and tracking of offering material Support a team of AREX Product Specialists on their cases, including handling calls with financial advisors and their clients to review the required paperwork and processes for an investment in an AREX offering Responsible for receipt, review, tracking, and data input for investor applications and loan applications Serve as the liaison between the team of AREX Product Specialists and the AREX Closing Team to ensure that transactions are transferred efficiently and smoothly Communicate with financial advisors, clients, the sales team and the product specialists about offering kits, applications, and the status of transactions Use internal systems like Salesforce to track and manage to important dates and deadlines throughout the application and closing process Gather the information and documentation required for KYC and AML purposes Work with the Client Services Team on AREX investor account maintenance requests Coordinate with financial advisors, the AREX product specialist and the AREX loan underwriting team on loan applications and the loan underwriting process Required Knowledge, Skills and Abilities A bachelor’s degree or equivalent experience required A minimum of one-year direct experience in a client service role interacting with high-net-worth clients and processing and tracking contracts or applications. Examples of relevant experience include client service roles at a financial services company, trust department or company, private bank, law firms, real estate companies, title insurance or escrow companies or other institutions involved in complex real estate, financial or investment products or services. Experience with trust, LLC, partnership, and corporate entity documentation Working knowledge of real estate transactions, closing statements and related documentation Experience with KYC and AML processes and procedures is a plus Excellent attention to detail and organization and time management skills Professional verbal and written communication skills Ability to learn quickly and comply with company policies, procedures, operations, and industry practices Ability to work well independently and with a team Experience working in Salesforce, Microsoft Word, Adobe Acrobat and Salesforce Reporting Relationships Compensation The anticipated base salary range for this position is listed below. Total compensation may also include a discretionary performance-based bonus. Note, the range takes into account a broad spectrum of qualifications, including, but not limited to, years of relevant work experience, education, and other relevant qualifications specific to the role. $70,000 - $80,000 The firm also offers robust Benefits offerings.
