POSITION SUMMARY:

This position is responsible for providing administrative support to the Court Improvement Program. Court Improvement duties include preparing materials, mailings and correspondence such as grant proposals, financial documentation, funding disbursements, and general correspondence. The position will also staff the Parent Assistance Hotline which was created to offer parents a better understanding of the Arizona dependency process and ensure that callers were given contact information of the agency best suited to address their specific concerns.
In support of the Court Improvement Program, the successful candidate should be a self-starter and a team player. They will have strong organizational and time management skills and will be able to prepare correspondence, communicate via email to various agencies, assist with setting schedules, and manage timelines for projects. The successful candidate will compose and type correspondence and reports involving policy and routine matters, attend meetings, and compile meeting minutes as required. They will interact with county personnel regarding receipt of project documentation including funding agreements and award disbursements and will prepare meeting agendas, registration, mailings, training room set-up, scheduling of equipment, and other support for meetings. The successful candidate will assist with the preparation and distribution of training materials and will help to maintain records on completed training. They will coordinate the purchase of program supplies and equipment, maintain materials on hand, and develop and maintain files and mailing lists. This position will prepare and maintain detailed budget, financial, personnel, inventory, and other reports and files. This position will make travel arrangements for program staff and prepare travel reimbursement requests. Relating to the Parent Assistance Hotline, this position will respond to calls from parents or guardians whose children have been removed by DCS. This position will document all calls by inputting data into the programs database, and provide follow-up calls with parents or guardians as deemed appropriate. This position will maintain the programs information database and extract pertinent statistical information as required.
This position may be eligible for a hybrid-telework schedule once the employee has completed three (3) months of employment and has sufficiently proved their ability to perform assigned tasks.

MINIMUM REQUIREMENTS:
This position requires a high school diploma or GED and three years administrative experience. It requires good interviewing, listening, questioning, and time management skills as well as the ability to communicate effectively and tactfully with highly emotional callers. This position requires good coping skills and the ability to work in a sometimes-stressful environment. It requires skills in planning, implementing, coordinating, and applying administrative procedures and support services and requires a knowledge of modern office practices and procedures. This position also requires the ability to work with high level county staff, to manage multiple projects at one time, and to possess a high degree of accuracy and attention to detail.
