About The PositionThe Assistant Director of Engagement supports a community based, social practices in the Engagement department, and also provides support for SAIC’s satellite campus Homan Square. The focus of the position is building and maintaining administrative systems, requiring great organizational skills which support community, classrooms and artist residency. This position balances outreach work, cultural, community and artistic engagement with the SAIC faculty, staff, students and external community. This position requires independent work, learning to navigate institutional procedures.
Basic FunctionsProvide administrative management, supervision for Engagement’s community base, internal and external programming. Reports to the Executive Director of Engagement and supports the Director of Civic Engagement with Homan Square facility operational support, supervise student workers and provide administrative duties.
SCHEDULE: 9:00 – 5:00pm, Monday through Friday, as well as occasional weekend and evening activities outside of these times and off-site.Administrative DutiesPRIMARY DUTIES AND RESPONSIBILITIES:
  • Prepare, produce and maintain administrative central files tools and documents
  • Assist in operation and utilization of rooms, spaces, courses and activities in coordination with SAIC class schedules, community programs and activities downtown and Homan Square (HS).
  • Oversee supplies, materials, inventory and technology needed for classrooms, residency studio, public projects and programs relating to downtown and HS
  • Process payments, invoices and reimbursements according to institutional protocols
  • Maintain equipment and general use of supply inventories; assist with capital asset planning as requested.
  • Maintain and update program calendars
  • Produce and maintain database mailing lists; outreach materials such as posters and flyers
Serve as unit liaison to IRFM & CRIT staff to coordinate classroom, studio and technical support:
  • Provide admin coordination with security and ARTIC Card
  • Schedule departmental equipment such as laptops and iPads
Qualifications
  • Bachelor’s degree or equivalent experience
  • Must have 2 years of administrative experience within administrative positions
  • Ability to multitask in a fast paced environment
  • Excellent communications, interpersonal organizational and team building skills
  • Proficient skills using Microsoft Office Suite
  • Proficient skills with social media apps such as Instagram and Facebook.
