Collision Center Clerical Assistant

A Collision Center Clerical Assistant is accountable for daily responsibilities and productivity of the Collision Center. The assistant is crucial to the success of the department and creates a vital communication link between the Collision Center office staff, customers and insurance agencies.

The Clerical Assistant must possess outstanding communication and interpersonal skills, leadership and organizational expertise, strong problem-solving abilities and professional work ethics.

Key Duties and Tasks (included but not limited to):

  • Properly obtaining required signatures at time of arrival and departure.
  • Answering phones and properly dispatching them to the designated personnel.
  • Obtaining and properly documenting all payments from customers; including insurance check(s), credit card payment(s) and cash.
  • Creating and assisting in invoices for vendors and interdepartmental transactions.
  • Scanning all related documentation into the system management software.
  • Review and document open/unpaid receivables on a weekly basis.
  • Ensuring documentation and billing matches between software before and at time of repair order finalization.

Requirements:

  • Mastering all aspects and skills of the Collision Center Administrative Assistant duties.
  • Developing a thorough understanding of and demonstrating adherence to Collision Center policies and procedures.
  • Developing proficiency with all software and tools provided.
  • Demonstrate the ability to communicate with office staff and customers effectively and professionally at all levels.
  • Professional attire and appearance at all times.
  • Demonstrate both excellent phone and in-person skills and ability to perform the highest level of customer service.
  • Aiding customers at time of arrival and departures.
  • Technology savvy with the ability to navigate multiple software programs at once.
  • Customer service experience is key.
