GENERAL JOB DESCRIPTION

Ascension DePaul Services of New Orleans (DCSNO) affiliates with DCHC which manages multiple Federally Qualified Health Center locations in the Greater New Orleans area. DCSNO is committed to improving the health status of communities and continues a long tradition of health ministry. DCSNO is seeking a full-time Behavioral Health Administrative Coordinator.

The Behavioral Health Administrative Coordinator provides administrative support to the School Behavioral Health Clinician Manager and providers coordinating activities for the Behavioral clinic and School Based Health in scope schools. The Behavioral Health Administrative Coordinator assists with clinic and school services as assigned by the School Behavioral Health Clinician Manager.

DUTIES & RESPONSIBILITES

  • Makes arrangements and prepares, or supervises preparation of, necessary materials for meetings at request of School Behavioral Clinician Manager and other management staff.
  • Functions as a valued tram player in providing professional customer service to all contacts, internal and external. Assures that all contacts are treated with courtesy and respect.
  • Handles confidential and non-routine information applying extreme confidentiality and sensitivity in the dissemination of this information.
  • Oversees the support functions of the department to ensure smooth function of clinic and program processes; supports Center’s goals and objectives.
  • Responsible for ordering supplies when directed.
  • Responsible for inventory of designated supplies and materials.
  • Performs complex administrative support duties to further overall functioning of the department and program.
  • Prepares, files, copies, distributes routine correspondence and monthly/quarterly reports.
  • Maintain the program forms catalogue, ensuring sufficient copies of all forms, books and policies and procedures, including health education materials.
  • Answers telephone inquiries, giving information to callers or routing calls appropriately.
  • Available for after-hours school based health activities such as parent orientation and school health fairs.
  • Will conduct ongoing site-based internal quantitative audits when directed and as specified in policy and procedure to assure compliance with both external and internal standards and will report status of records compliance to the Behavioral Health Director as requested.
  • Opens new patient/student files within two (2) business days of a patient/student admission to consented services, if applicable.
  • Assists in preparing for agency audits and inspections (both internal and external).
  • Assists in training/orienting employees to records requirements and procedures.
  • Performs data entry as needed.
  • Daily monitoring of schedules for all Behavioral Health Care Managers and School Health Clinicians.
  • Liaison with partnered schools within scope of practice.
  • Coordinates screenings with the schools within scope of practice, making sure all staff essential staff is present.
  • Performs other job duties as assigned.

PHYSICAL DEMANDS

Lifting, twisting, standing, bending and some activities that involves running for long periods of time will occur, 90% of work will require some sort of physical activity to be performed. Employee will be required to travel from time to time and must be willing to work various shifts to accommodate needs of various sites.

WORK ENVIRONMENT

Work is normally performed in a clinic, office environment, school or mobile unit with varying temperatures.

MINIMUM QUALIFICATIONS

  • High School Diploma or GED equivalent required.
  • Should have at least one year of clerical experience.
  • Display solid verbal and written communication skills.
  • Should have experience and the desire to work in a holistic health care environment serving the under-insured and uninsured.
  • Demonstrate time management skills and set priorities.
  • Organized and efficient.

PREFERRED QUALIFICATIONS

  • Associate’s or Bachelor’s Degree from an accredited college or university preferred.
