Associated Students is Hiring an Event Coordinator - Part-Time, Temporary Near Long Beach, CA

 
 
GENERAL STATEMENT Under the general supervision of the USU Conference & Events Office (CEO) Supervisor, the Event Coordinator (part-time/temporary) provides daily scheduling, negotiating, and organizational expertise for the University Student Union CEO. Incumbent serves as a point of contact for the CEC for coordinating and enhancing facility/event scheduling within the University Student Union. Responsibilities include, but are not limited to initiating and maintaining contact with clients; managing event contracts; scheduling and conducting pre-event meetings when necessary; generating sales revenue; on-site event coordination, including coordination efforts between the USU Facilities, USU Building Operations and the University as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. 

  • Evaluates facility requests and determines appropriate facility and service requirements. Assists clients with all aspects of event planning and conference coordination, including explanation of reservation process, facility selection, parking, security, liability concerns, compilation of estimated charges, and self-catering and campus catering needs and procedures. 
  • Utilizes a complex computerized space reservation system to reserve and assign available space in the University Student Union. These include meeting and conference rooms, a theater, recreational facilities, and miscellaneous public areas such as patios, lobbies, and lounges. Advises each client of the most effective methods of planning and executing successful meetings and events.
  • Assists the CEO Supervisor in developing and implementing a strategic sales plan for internal and external clients to meet annual revenue goals.
  • Coordination with various campus departments for space reservation of university facilities. Responds to reservation inquiries, interprets policies, and disseminates information to event planners or other interested parties.
  • Maintains knowledge of current University policies and procedures. Contributes to the overall development of policies, procedures, and guidelines to build a successful conference and event services program. Provides constructive modifications or suggestions for improvements in methods, techniques, offered services, and procedures.
  • Assists event planners with organization and coordination of event details, development of physical set-up diagrams utilizing a schematic software program, determines audio-visual requirements, orders support personnel as needed, and provides billing information. 
  • Prepares various reports weekly and performs daily operational administrative functions to ensure that support staff receives reports on a routine and as needed basis.
  • Provides advice and exercises independent judgment in resolving scheduling conflicts or grievances. Responds to customer concerns and provides appropriate resolutions to problems.
  • Develops working relationships with service providers and clients to ensure customer satisfaction. Communicates effectively with all levels of staff and faculty, and with students to plan and coordinate campus events. 
  • Represents the Campus Events Office and serves as point of contact at weekend and evening events, exercises independent judgment in resolving conflicts during events. Serves as a liaison between the Campus Events Office and the Building Operations in the evenings and weekends. Resolves variances, questions, concerns during events.
  • Conducts facility tours and represents the department to the campus community, the public, other organizations, and potential users.
  • Provides general office duties by answering telephones, responding to inquiries, prepare requisitions, and scheduling appointments. 
  • A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the ASI. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current ASI employees who apply for the position.

MINIMUM REQUIREMENTS 

Education and/or Experience Associate’s degree (A.A.) or equivalent from two-year college or technical school plus one to two years related experience or equivalent combination of education and experience. Experience working in a college union environment preferred.

Knowledge and Abilities 
Thorough knowledge of conference and event management practices and procedures; working knowledge of space planning and keen customer service practices in the event planning and hospitality field.
Ability to interact, and communicate with diverse clientele, which includes the campus and off-campus communities. Must be detail oriented, creative, work independently, and have the ability to multi-task. Ability to read and interpret documents such as safety rules operating and maintenance instructions, and procedure manuals. Proficient in Microsoft Office. Working knowledge of EMS (Event Management System) and Social Tables. Possess the ability to write professional reports and business correspondence. Ability to speak effectively before groups of customers or employees of the organization. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to establish and maintain cooperative working relationships with campus community and public agencies.

Valid California driver’s license.

Other Requirements
Must be able to work a flexible schedule, including evenings and weekends.
